Job TitleAccounts Payable Associate

Job Description

As an Accounts Payable (AP) Associate, you will facilitate all of the company's accounts payable daily functions. Your main responsibilities include providing efficient and accurate processing of AP tasks, customer service, research, and execution of journal entries with attention to necessary detail and deadlines.

Responsibilities

  • Process vendor/supplier payments and prepayments multiple times a day, verifying accuracy.

  • Post and reconcile supplier payments via check, ACH, and virtual credit card.

  • Process prepayments and ensure they meet deadlines with attention to detail around the journal entries.

  • Communicate effectively with impacted partners to resolve credit holds.

  • Work closely with suppliers to keep supplier accounts current.

  • Research checks not cleared and assist with repayment as necessary.

  • Resolve new suppliers and duplicates ensuring that W-9s are on file.

  • Complete 1099s.

  • Enter credit memos into the accounting system as received via hard copy, email, and Kodak Imaging software.

  • Understand data entry to comprehend the impact of backouts if not done accurately within ERP and Financial System.

  • Update and verify name, address, payment information, credit, and payment terms.

  • Ensure appropriate controls are followed and approval thresholds are maintained.

  • Manage incoming emails to various mailboxes.

  • Communicate and partner with internal business partners to ensure no roadblocks.

Skills and Qualifications Required

  • Minimum of 2 years of AP experience specific to working with vendors, reviewing statements, and communicating via email and phone with vendors.

  • Experience with Google Docs (Google Sheets).

  • Experience with journal entries.

Work Environment

The position offers an hourly rate around the $21-$24 range. Initially, the role will require working in the office 5 days a week, with the potential to move to a hybrid schedule.

Pay and Benefits

The pay range for this position is $21.00 - $24.00/hr.
