Robert Half Administrative Assistant in Baltimore, Maryland

Description

We are seeking a dedicated Administrative Assistant to support the day-to-day operations of our nonprofit organization dedicated to combatting homelessness. You will be providing essential administrative support, managing the office, helping to organize events and coordinating donor relations. This role requires someone with a strong interest in social service work, excellent organizational skills, and outstanding communication abilities.

Responsibilities:

  • Provide administrative support to the team, including preparing and updating documents, responding to inquiries via phone or email, and preparing meeting materials.

  • Manage the organization’s database, ensuring all information is up-to-date and accurate.

  • Assist in planning and organizing events, including coordinating logistics, handling registrations, and managing invitations and confirmations.

  • Maintain contact lists of donors, volunteers, and stakeholders, and assist in donor appreciation efforts.

  • Assist with grant application processes by gathering necessary documentation and completing forms.

  • Manage office inventory, handle mailings, manage receipts, and other office-based tasks.

  • Prepare and distribute internal communication such as newsletters, reports, and memos.

  • Facilitate meetings by setting up schedules, taking minutes, and following up on action items.

  • Support the executive director and other staff members as needed.

    Requirements • Prior experience in a healthcare, hospital, or social assistance environment is preferred

• Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)

• Strong customer service skills and ability to handle patient inquiries

• Experience with data entry and maintaining accurate records

• Excellent verbal and written communication skills

• Ability to answer inbound calls and manage inbound/outbound calls effectively

• Proficiency in managing email correspondence

• Experience with scheduling appointments and managing calendars

• Ability to handle sensitive information with discretion

• Strong organizational skills and attention to detail

• Ability to work in a fast-paced environment and prioritize tasks accordingly

• High school diploma or equivalent required; further education in healthcare administration or related field is a plus

• Commitment to ethical conduct and understanding of patient confidentiality rules

• Ability to adapt to new technologies and systems as needed

• Strong problem-solving skills and ability to work under minimal supervision.
