Tatte Bakery & Cafe Executive Administrative Assistant to the CEO in Boston, Massachusetts

Description

SUMMARY OF RESPONSIBILITIES (which include but are not limited to):

Executive & Administrative Support:

  • Provide direct administrative support to the CEO, including managing schedules, emails, and correspondence

  • Organize and maintain Tatte’s master calendar, prioritizing meetings and ensuring time is allocated effectively

  • Prepare reports, presentations, and documents as needed for executive meetings

  • Act as the primary liaison between the CEO and internal/external stakeholders

  • Assist the Leadership Team with meeting coordination, agenda preparation, and follow-ups

  • Coordinate travel arrangements, accommodation, and itineraries for the CEO and leadership team members

  • Support leadership team projects and initiatives as needed

Office Management:

  • Oversee the daily operations of the support team office, ensuring an organized and productive workspace

  • Manage office supplies, vendor relationships, and facilities-related requests

  • Plan and coordinate office events, team meetings, and celebrations

  • Manage general administrative tasks, coordinate communication, and provide office support to the activities and programs within the building

Meeting & Event Coordination

  • Schedule and coordinate meetings, offsites, and team functions

  • Manage follow-ups from key meetings and track action items to ensure follow-through

  • Support company-wide events and initiatives as needed

Other Duties as Assigned

REQUIRED SKILLS & QUALIFICATIONS

  • 3-5+ years of experience in an executive administrative assistant or office management role

  • Exceptional organizational skills with the ability to prioritize and multitask effectively

  • Excellent written and verbal communication skills

  • Passion for hospitality and alignment with Tatte Bakery’s mission and values

  • Strong attention to detail

  • Ability to maintain the highest level of confidentiality

  • True collaborator with a “take charge” approach to complex projects

  • Have a natural ability to connect and cultivate productive partnerships with a broad network of contacts in key positions

  • Proven creative problem solver, skilled at maximizing relationships and resources, balancing priorities, and influencing positive outcomes for Tatte

  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)

  • Ability to leverage AI to gain efficiencies with communication, meetings and schedules

  • Able to regularly commute to/from the support team office in Boston

  • Experience working in a fast-paced, high-growth company is a plus

WORKING CONDITIONS/ESSENTIAL FUNCTIONS

  • Must be able to sit and/or stand for at least 8 hours per day

  • Ability to read and speak English proficiently

  • Ability to lift up to 25 lbs.
