Brief Position Overview

Under direction of the Facilities Services Director and/or Assistant Director, the Fleet and Maintenance Shop Manager oversees the entire fleet of all University Services vehicles and equipment, administers the vehicle and equipment replacement fund for each University Services department, manages the Facilities Mechanic Shop and supervises shop personnel, receives all new campus vehicles, applies for titles and verifies proper insurance in accordance with State and University policy, enters and tracks all vehicles in the CMMS (AiM), develops procurement specifications for new purchases, and works with the Preventive Maintenance coordinator to assure proper fleet preventive maintenance is taking place.

Position Details

General Statement

Under general supervision of the Facilities Services Director and/or Assistant Director, the Fleet and Maintenance Shop Manager supports the University Facilities Management fleet including vehicles, heavy equipment, mobile equipment and emergency generators including procurement, life-cycle management, scheduled and unscheduled maintenance, dispersal and regulatory compliance and ensures efficient operation, reliable supplies, and appropriate tools for the Mechanic Shop. The position provides assistance to other University departments in managing their departmentally owned fleets.

Duties and Responsibilities

  • Set and manage replacement schedules and manage the equipment fund using vehicle cost management system.

  • Manage titles, license, and insurance for all campus vehicles.

  • Develop specifications for new equipment including trades work vehicles, tractors, snow removal equipment, garbage trucks and other vehicles/equipment according to Montana State University and State of Montana purchasing procurement policies.

  • Coordinate new vehicle/equipment training.

  • Manage the MSU mechanic shop personnel.

Oversee all preventive and reactive maintenance on the fleet of equipment.

  • Manage the inventory of the mechanic shop for stock parts and fluids.

  • Reconcile receiving documents against purchase orders for all shop procurement and create purchase receiving documents.

  • Manage the fuel system in facility services yard used by all campus vehicles. Ensure regulatory compliance, proper billing and administration the fuel system.

  • Work with insurance providers and local repair shops to resolve any accident involving University Services vehicles.

  • Support other University departments managing their departmentally owned fleets.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • General knowledge of a wide variety of vehicles, light and heavy equipment including Department of Transportation regulatory compliance, manufacture specifications, ANSI standards, and preventive maintenance principles and practices.

  • High school diploma or equivalent.

  • Demonstrated knowledge of state and local motor vehicle division requirements.

  • Demonstrated knowledge of equipment life cycle, depreciation schedules, vehicle replacement planning, and vehicle/equipment specifications.

  • Experience using word processing, spreadsheet and Computer Maintenance Management System ( CMMS ) database software.

  • Basic understanding of accounting fundamentals.

  • Staff management experience.

  • Basic understanding of procurement processes.

  • Experience managing a high-volume shop with a broad variety of vehicles and equipment.

  • Demonstrated skill in managing multiple on-going tasks, maintaining good documentation and being organized.

  • Ability to prioritize multiple work assignments, meet deadlines, and exercise adaptability to changing priorities.

  • Represent Facilities Services in a professional and courteous manner.

    Position Special Requirements/Additional Information

In accordance with MSU policy, hiring will be conditional upon successful completion of a pre-employment background check.

Must possess currently or be eligible to obtain a valid State of Montana Driver’s license and have an acceptable driving record (less than 12 points). Do NOT send a copy of the driver’s license.

Physical Demands
