Job Description
We are seeking an experienced and highly skilled Executive Assistant to support the CEO of a small family-owned manufacturing company. This is a new role within the company, offering a unique opportunity to work closely with the CEO and contribute to the company's success.
Responsibilities
Manage the Presidents calendar, schedule appointments, and coordinate meetings.
Maintain and update itineraries for internal meetings.
Screen and prioritize incoming emails, calls, and correspondence.
Prepare and edit documents, reports, and presentations as needed.
Prepare or assist with meeting agendas, attend meetings, and record minutes.
Ensure the President is well-prepared for all meetings with necessary notes, materials, and information.
Follow up on action items resulting from meetings.
Act as a liaison between the President and internal team members, as well as selected external vendors and clients.
Coordinate and organize special projects as directed by the President.
Prepare correspondence to internal team members and outside clients/vendors as needed and directed.
Keep the President organized by proactively managing tasks and priorities.
Essential Skills
Bachelor's degree in Business Administration or related field.
5+ years of executive admin/C-suite experience.
Strong communication skills.
Proficiency in Microsoft Office and Excel.
Additional Skills & Qualifications
Experience with Microsoft Excel functions such as Pivot Tables, V Look Ups, and Filtering.
Proficiency in Outlook and calendaring.
Experience providing executive-level support.
Work Environment
The company is a small family-owned business located in Brooklyn. The Executive Assistant will work on the 2nd floor with the administration team, which includes departments such as AP, accounting, customer service, finance, and sales. The work schedule is Monday to Friday, 9am to 5pm, with a hybrid arrangement requiring 2-3 days per week in the office. The position offers competitive pay, long-term stability, and the opportunity to support and work directly with the CEO.
Pay and Benefits
The pay range for this position is $35.00 - $45.00
