RXR Management Holdings LLC Property Manager in Brooklyn, New York

The RXR platform manages 93 commercial real estate properties and investments with an aggregate gross asset value of approximately $18 billion, comprising approximately 30.5 million square feet of commercial properties, a multi-family residential portfolio of approximately 9,400 units under operation or development, and control of development rights for an additional approximately 3,000 multi-family and for sale units as of December 31, 2023. Gross asset value compiled by RXR in accordance with company fair value measurement policy and is comprised of capital invested by RXR and its partners, as well as leverage.

The final outputs of the RXR Leasing Process are tenant satisfaction and retention as well as portfolio value maximization. The Property Manager is directly responsible for creating these outputs. The Property Manager creates tenant satisfaction and retention by facilitating the initial installation of the tenant, fostering two-way communication channels, implementing clearly understood life safety programs, and responding to tenant requests in a timely and effective manner. The Property Manager maximizes portfolio value by maintaining the properties, budgeting and managing operational expenses, and by identifying and implementing capital improvements that will increase the efficiency and value of the properties. In so doing, the Property Manager operates in alignment with the vision, mission and strategy of RXR in a manner consistent with our core values.

Responsibilities

  • Coordinate with the acquisition team for due diligence and integration of new assets.

  • Oversee tenant installation and communication including new tenant walkthroughs with the RXR Construction team.

  • Tenant Relations, oversee, coordinate and implement the following:

    o Angus tenant request for work system. Review and monitor follow up.

    o Tenant Signage

    o Tenant Overtime Electric Procedures

    o Tenant Accident Reports

    o Insurance Requirements Verification

    o Tenant After Hours Notification

    o Tenant Extra Work Procedures

    o Planning & Coordinating Tenant Functions

  • Establish and implement life safety procedures.

  • Be on call 24/7 for afterhours emergency response including holiday coverage.

  • Establish and implement building maintenance procedures.

  • Create Operating Budgets and Capital Budgets.

  • Work with Asset Manager, Fund Managers, VPPM and EVP of Operations to:

    o Analyze and compare monthly and annual variance reports.

    o Evaluate Escalation income.

    o Evaluate status of capital expenditures.

  • Review and approve all proposals and invoices (Avid) related to building operations.

  • Create and obtain approval for capital improvement work.

  • Maintain the Building Management Systems.

  • Solicit, evaluate and implement service contracts including: HVAC, Electrical, Plumbing, etc.

  • Coordinate, supervise and evaluate maintenance personnel.

Qualifications

  • Understanding of Infrastructure and Operations Systems of Commercial Properties: Expert understanding of the breadth and depth of infrastructure and operations systems of commercial properties (HVAC, Plumbing, Electrical, Telco, Roofing, etc.). Shows understanding of all NYC Local Laws. Understanding of all standard operating procedures outlined in the Property Management Handbook (ADP).

  • Understanding and Enforcement of Policies and Processes: Expert understanding of preventative maintenance programs, inspections, local law requirements, code compliance, etc. Enforcing the polices and procedures in connection with risk management.

  • Understanding and Implementation of the Corporate ESG Initiative: Strong understanding and application of developing an ESG report for each property. 1) Develops and implements a narrative about the property that supports the community, and RXR's corporate and ESG goals. 2) Works with the RXO team to support tenant engagement and an office sector community.

  • Property Management Budgeting and Reporting: Excellent ability to develop accurate budgets and monthly reporting for individual properties - Revenue, Expenses, Capital, RFC; Applies the understanding of key financial indicators to make business decisions. Shows a full understanding of the energy market and how changes in the market can effect our expenses. Daily - Accurate management and tracking of short-term payment obligations to vendors/suppliers on individual properties; work collaboratively with accounting and other internal stakeholders to complete payment obligations on timely basis; Monthly - Proficient at development of budgets and monthly reporting that pertain to P&L, variances, and key financial indicators that drive business decisions; Bi-Annual - Expert understanding and implementation of bi-annual tracking of operating expenses and tax implications from tenants (escalations) used for strategic planning and decision making.

  • Vendor Contract Management: Expert understanding and effective and efficient execution of Vendors Contract Management - go to market, scoping, : Bidding Process/Leveling, Approval Process, written communication to vendors, contract completion and sign off and system management

  • Project Management & Logistics Oversight: Expert understanding of and implementation of project management, logistics, vendor management, VIP/Tour preparation, etc. Effective at providing direction on projects from start to finish while clear communicating goals and timelines: 1) establishes clear timelines; 2) requires accountability on deadlines ; and 3) meets with staff regularly to answer questions and provide direction

  • Systems Proficiency: Avid - Fundamental understanding and use of bill paying system for purchase orders and invoices, payables; Kardin - Fundamental understanding and use of Kardin for to creation of detailed operating budgets, forecasting, calculation of operating expense recoveries and year-end expense reconciliations; Watchwire - Fundamental understanding and usage of the system for property energy management, Portfolio Managers are responsible for being well versed in this; Worxwell - Fundamental understanding and use of the tenant experience platform to manage building news and notifications, provide tenants with access to on-demand services and amenities, and other automated digital experiences. Yardi - Fundamental understanding and use of Yardi accounting platform (the accounting “backbone” of property management financial management), upload of Kardign budgets and forecasts, analysis and tracking of P&L variances; Concur - Proficiency; Jaffa Violations Tracking - Expert use of the system to track and implement plan of corrective action necessary to clear all violations and to update Asset Report monthly. MRI Angus - Strong understanding of Property Management backbone that includes: tenant work orders, insurance tracking, billing and preventive maintenance. Ensures best use of tenant work order tracking, tenant satisfaction and capturing all billables; Utilivisor - Demonstrates knowledge of the Sub-Meter billing platform; Real Data Management (RDM) - Fundamental understanding of the Real Data Management (stacking management for leasing details) Systems with the ability to conduct quarterly updates.

Experience and Education

  • Four year college degree preferred

  • Minimum of five years Building Operations/Management experience in New York City Class A Office Buildings

  • Excellent MS Excel skills

  • Must react to unforeseen activities quickly and effectively
