Overview

  • The administration support assistant will support a variety of projects managed by the Policy in Action (PIA) division in ICF.

  • The position is suitable for a student or an intern who is looking for a flexible and rewarding work experience in a dynamic and friendly environment.

Responsibilities

  • Provide printing support to the staff, clients, and key stakeholders, including the preparation of event materials.

  • Ensure that the stationery supplies are adequate and replenished as needed, and place orders with selected suppliers when necessary.

  • Conduct regular stock checks and inventory of project promotional equipment and materials, and report any issues or shortages to the activity manager.

  • Liaise with in-house facilities team to book couriers and organise the shipment of materials to events.

  • Monitor mailboxes and provide information and assistance to requests and redirect them to the appropriate staff member.

  • Assist the process of checking, processing and paying external reimbursement claims

  • Research worldwide event suppliers and update internal databases.

Qualifications

  • You have the eligibility to work as a student in Belgium

  • Basic computer skills and proficiency in Microsoft Office applications.

  • Good communication and interpersonal skills.

  • Ability to work independently and as part of a team.

  • Attention to detail and accuracy.

  • Flexibility and willingness to learn new skills and tasks.
