POSITION: Grants Coordinator - Temporary SALARY: $55,428 - $66,268 LOCATIONS: Office of Extended Learning, 506 City Hall Buffalo, NY 14204 APPLICATION: Applications successfully received will generate a confirmation email to the account listed on the application. Distinguishing Features of the Class The Grants Coordinator is responsible for providing grant-related technical support and assistance to the staff of the School District’s Office of Federal and State Programs. The incumbent researches funding opportunities, coordinates on-line grant submissions, develops and coordinates summer Extended Learning Opportunity Program payroll process; creates and edits departmental documents and correspondence related to grants. S/he trains personnel assigned to the Office of Federal and State Programs, in the functions of on-line grant transmissions and reporting as well as the Extended Learning Opportunity Program payroll functions. No supervisory duties are exercised. Typical Work Activities

  • Researches grant funding opportunities through local, State, Federal government agencies and Foundations;

  • Coordinates on-line submissions of grants and related reports using local, State, Federal and Foundation electronic application programs;

  • Coordinates the work of clerical staff in the use of on-line grant application programs;

  • trains staff in the use of grant application programs;

  • Provides technical assistance to Administrators/Managers in the Office of Federal and State Programs regarding the completion of forms, formats and grant report submissions;

  • Assists Administrators/Managers in the Office of Federal and State Programs with collecting and compiling budget information to prepare annual and final grant reports;

  • Collects, compiles and presents statistical and other information related to grant activities;

  • Maintains reporting requirements and close-out documents for grant applications;

  • Renews and/or updates the School District’s federal Central Contractor Registration and other federal and state information databases, as required;

  • Reviews reports and other office materials and correspondence before distribution;

  • recommends revisions, etc.;

  • Prepares drafts for informational brochures i.e. Extended Learning Opportunity Program brochures, Grant Development and Management Handbook, etc.;

  • Coordinates summer Extended Learning Opportunity Program payroll process in conjunction with other District departments including Payroll Division;

  • develops payroll procedures for the summer Extended Learning Opportunity Program;

  • trains summer School Clerks and temporary Clerks assigned to the Office of Federal and State Programs for Extended Learning Opportunity Program for payroll and other duties;

  • participating member of the Extended Learning Opportunity Program payroll subcommittee;

  • Performs related duties as required.

    Full Performance Knowledge, Skills, Abilities and Personal Characteristics

  • Thorough knowledge of the principles and practices involved in the application and coordinating of grant funding;

  • Good knowledge of computer technology in the use of application programs related to grant application submission;

  • Good knowledge of research methods and techniques, both manually and in the use of electronic technology;

  • Working knowledge of electronic payroll functions;

  • Ability to collect, organize and interpret data in the preparation of reports and presentations;

  • Ability to develop written material in various formats;

  • Ability to train others in the use of computer application programs;

  • Ability to effectively communicate both orally and in writing;

  • Ability to multi-task, prioritize multiple projects and meet goals and deadlines;

  • Ability to develop and maintain good working relationships with program administrators, managers and staff;

  • Ability to learn new computer technology programs and to adapt them to the School District grant functions;

  • Tact; confidentiality; integrity;

  • Physical condition commensurate with the duties of the position.

    Minimum Qualifications

  • Completion of 60 semester credit hours from an accredited college or university and two years of full-time qualifying experience*;

    OR

  • Graduation from High School, GED or Equivalency Diploma and four years of full-time qualifying experience*;

    OR

  • An equivalent combination of the foregoing as defined within the limits of A, B and C.

    *Qualifying experience is defined as full-time experience in the preparation of grants that includes: grant research; use of on-line grant application and reporting programs; preparation of written material; and training personnel in the use of grant application programs. Note: Verifiable part-time and/or volunteer experience will be pro-rated to meet full-time experience requirements.
