As an Executive Assistant to the Chief Enterprise Transformation Officer and SVP, Global Food Safety & Quality, your role is to provide advanced and diversified administrate support, maintain confidentiality, and handle various tasks to ensure the smooth functioning Enterprise Transformation and Food Safety & Quality teams. What you will do... Administrative Support: You will assist both the Chief Enterprise Transformation Officer and SVP, Global Food Safety & Quality and additional Enterprise and Food Safety & Quality Leadership team members with administrative activities including calendar management, travel arrangements, itinerary coordination, agenda setting, meeting document preparation, and expense report creation and approval. Onboarding and Termination: You will handle the onboarding process for new hires and contingent workers, ensuring they have the necessary equipment and access. Additionally, you will terminate access for individuals who conclude their employment or assignments. Equipment Setup: You will be responsible for setting up equipment (laptop, monitors, keyboard, mouse, badge, etc.) for new hires, ensuring they have everything they need to start their work. Purchase Orders and Budget Tracking: Using systems like Ariba or SAP, you will create purchase orders and receive against them. You will also track the budget related to these purchases. Meeting and Conference Arrangements: You will arrange meetings and conferences, prepare agendas, reserve facilities, and ensure smooth operations for both local and webcast meetings. Event Planning: You will organize, plan and arrange all events, as needed, in support of the Enterprise Transformation and Food Safety & Quality teams. Record Keeping and File Management: You will organize and maintain record and file systems, both electronic and paper. You will establish and maintain an efficient filing system that aligns with the organization's standards and ensures confidentiality and security of sensitive documents. Department Organizational Charts: You will be responsible for creating and maintaining the department organizational charts. This involves regularly updating the charts to reflect any changes in structure, such as new hires, promotions, transfers, or departures.
