Job Summary

The Manager, Student and Temporary Employment for the Booth School of Business at University of Chicago (Chicago Booth) organizes, executes, strategizes, creates, and implements process improvement for HR functions including, but not limited to student employment, temporary employment, time and attendance management, and staff communications. Works with UChicago Grad and Chicago Booth peers to ensure thorough implementation of the Graduate Student Union (GSU) contract. Creates and distributes internal communications related to payroll, accruals, benefits, HR initiatives, and policies.

Responsibilities

  • Manages all student employment for Chicago Booth. Ensures GSU compliance by working with UChicago Grad on all relevant aspects. Oversees the TA payment process and implements process improvements. Works with Chicago Booth colleagues to resolve any student employment issues.
  • In conjunction with Office of International Affairs, counsels international students and faculty members regarding J1 and F1 work authorization, OPT, CPT, tax treaties, and visa limitations.
  • Manages all temporary and part-time benefits ineligible (PTBI) employment for Chicago Booth; recruits for temporary openings; completes onboarding for temporary and PTBI employees; monitors ERISA hours. Proactively works with supervisors to transition or end temporary employees at their maximum time/hours.
  • Manages, tracks, analyzes and reports on payroll and overtime; works with department heads on reminder communications and provides detailed reports. Communicates with time approvers to ensure employee time is accurate.
  • Creates ad-hoc reports, analysis, and surveys as requested.
  • Tracks and facilitates compliance process of temporary, staff, student and academic employees (annual compliance training). Works directly with Chicago Booth leaders to enforce compliance.
  • Serves as system expert for all time-related issues. Trains all new time approvers and system users; audits hours for non-exempt employe s on a bi-weekly basis. Holds monthly sessions for new time approvers.
  • Creates internal communications related to payroll, accruals, benefits, HR initiatives, and policies. Follows up on questions. Sends holiday deadline reminders to time approvers.
  • Handles all onboarding for student employees; assists departments with recruiting student employees.
  • Manages office procurement and reimbursements, manages budget for supplies, seeks out and implements cost savings opportunities.
  • Serves as back-up for other Booth HR operations colleagues.
  • Resolves paycheck-related discrepancies.
  • Manages special projects as assigned.
  • Plans, manages, and executes special events as assigned.
  • Supports staff hiring processes, including developing job descriptions, interviewing and reference checking, handling employment offers, and conducting orientation. Drafts templates and routine offer letters. Maintains appropriate human resources data and records, solving a range of straightforward problems using standard procedures.
  • Assists in the development and administration of the HR budget for the department, monitors for variances, and manages employment expenses within established guidelines.
  • Performs other related work as needed.
