Job Title: Document Control Support Entry-Level Duration: 03+ months Location: Cincinnati, OH, 45241 Schedule: Mon - Fri (07:00 AM - 04:00 PM) SUMMARY The Document Control Coordinator will be responsible for coordination of supplier documentation reviews, approvals and filing for select capital engineering and construction projects. The Document Control Coordinator will work closely with Document Control Customers (engineers, buyers, construction managers, and vendors). Documentation information will be checked for completeness and integrity, as processed through Document Control's process. The candidate should possess the technical aptitude and knowledge to work within these documents, functions, and applications to adequately and efficiently support a high-volume project environment. Qualifications: High School diploma or better Intermediate to advance skills using Computer and Microsoft Professional Suite including Word, Excel, PowerPoint, & Access. Imaging and document creation software such as Adobe Acrobat is a plus. Technical knowledge of electrical, mechanical and automation equipment (preferred). Experience with reading and understanding engineering drawings and specifications (preferred). Access/other software database experience. Must be a self-starter with a strong focus on quality, and exercises good judgment within broadly defined practices and policies in selecting methods, techniques and criteria for obtaining results. Strong interpersonal skills and ability to work with others in a positive and collaborative manner. Demonstrated ability to follow instructions/schedules/timelines and handle multiple priorities in a dynamic environment. Excellent organizational and planning skills. Strong attention to details. 1-2 years of Supplier/Vendor Document Control experience. Responsibilities: Completing data entry in multiple EDMS systems for incoming and outgoing vendor documentation. Provide assistance to the Document Control Lead or Manager. Receiving, recording and distributing vendor and/or sub-contract documentation. Processing, distributing, and maintaining controlled documentation using proprietary software, process documents for revision and approval, and monitoring the distribution and reconciliation of all supplier documents. Uploading documentation to vendor via clients' file transfer tool or other means. Uploading documentation to Client's EDMS (Electronic Data Management System). Scanning, copying, filing, and distributing data according to project procedures. Preparing and issuing necessary vendor document related reports and other necessary functions in support of the project. Flexibility in dealing with several projects and must be responsive to the projects that are being served. Coordinating with Project Management, Discipline Leads, Supply Management and Construction Management during project execution. Entering contacts, purchase orders and other set-up criteria in the electronic data management system. Archiving project documentation. EDUCATION and/or EXPERIENCE Minimum of HS Diploma. Associate in Administration (AA), Associate in Science Degree (AS); related experience and/or training in Engineering and/or Supplier Document Control; or equivalent combination of education and experience. LANGUAGE SKILLS Ability to communicate in English, both verbally and in writing. Ability to read and interpret documents such as procedures, requisitions, purchase orders, and commercial terms. Ability to prepare routine reports and correspondence. PHYSICAL DEMANDS The employee must occasionally lift and/or move up to 40 pounds. WORK ENVIRONMENT: General Office Conditions.
