What you'll do Under the direction of the Retirement Plan Manager, the Retirement Specialist is responsible for administering retirement plans across the Bassett Healthcare Network. Responsible for the day-to-day operations of the retirement plans to ensure accurate, timely, and service-focused outcomes in support of Bassett’s Total Rewards objectives. This role serves as the first line of contact for employee retirement plan questions as well as the initial point of resolution for employee retirement plan issues. The incumbent provides assistance to current employees, retirees and beneficiaries, vendors, and HR staff and leadership across the Bassett Healthcare Network. The responsibilities of this role include, but are not limited to, ensuring data is transmitted timely and accurately to the appropriate recordkeeper; processing, reconciling, and initiating timely and accurate funding of employee deductions from the payroll system to the appropriate vendor; determining plan eligibility; and responding timely to employee service requests in the appropriate recordkeeper’s system. Assists in the data gathering for annual nondiscrimination testing, employer contribution calculations, and required annual audits. Participates as needed with required government filings, disclosures, and notifications. Serves as a subject matter expert for plan provisions and applications across the Bassett Healthcare Network. Works closely with the Retirement Plan Manager to ensure the compliant operation of all retirement plans across the Network. The incumbent is highly skilled in handling questions and processes within the scope of responsibility but comfortable escalating when necessary. Partners with Retirement Plan Manager to oversee relationships with service providers, outsourced vendors and third-party administrators, to ensure compliance with Bassett Healthcare Network plan documents and adherence to IRS and DOL regulations, best practices, and guidelines. Responsible for routine plan administration, reconciliation, recordkeeping, and compliance. Maintains accurate records of all Bassett Healthcare Network retirement plans and related transactions. Maintains a master file of all active, deferred, retired, and separated members of the retirement system; completes forms to make payroll changes for current employees; prepares requests for refunds of contributions or deferred or reciprocal retirement; Collaborates with HRIS Team to process quarterly Retirement Plan contributions on a timely basis and according to established schedules and communicates those contributions to Accounting and Finance. Assists in the preparation and review of 5500 tax forms, plan summaries, and annual reporting for each plan on a timely basis and with established schedules. Assists Retirement Plan Manager with preparation and review of plan documents and amendments. Ensure plan compliance with applicable government regulations. Processes participant distributions compliant with plan specifications and IRS guidelines. Determines employee plan eligibility and communicates eligibility and enrollment processes to impacted employees in a timely and efficient manner. Assists employees (both active and terminating) and retirees with enrollment, distribution and rollover paperwork. Acts as first line contact for Network retirement plans. Refers individuals making personal decisions related to their retirement plan participation to the appropriate service provider. Consults Retirement Plan Manager as needed for policy interpretations and to keep informed about plan or policy changes. Serve as primary contact to plan vendors and third-party administrators and Retirement Counselors for matters related to regular administration of the plans. Coordinate and communicate retirement plan counselor visits to site HR Business Partner. Work to ensure the smooth and compliant operations of the Network retirement plans. Investigate and resolve discrepancies and escalate when needed. Performs additional duties as directed. What we need from you Education: 4 Year / Bachelor's Degree in Business Administration, Human Resources, or 4 years of related work experience, required. Experience may be considered in lieu of education. Experience: Minimum 4 years administering retirement benefit plans, required Familiarity with both defined contribution and defined benefit plan administration, preferred Skills: Communication Data Management Customer Service Project Management/Planning Physical Requirements: Sedentary Work - Exerting up to 10 lbs of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Pay Range Salary is based on a variety of factors, including, but not limited to, qualifications, experience, education, licenses, specialty, training, and fair market evaluation based on industry standards. Pay Range Minimum: USD $29.56/Hr. Pay Range Maximum: USD $44.34/Hr.
