Summary

We are seeking a highly organized and detail-oriented Executive Assistant to provide exceptional support to senior leadership members. The ideal candidate will excel in managing complex calendars, coordinating travel arrangements, and preparing high-quality presentations in PowerPoint. This role requires discretion, strong communication skills, and the ability to anticipate needs in a fast-paced environment.

This position will support our Growth team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 3 days per week. The ideal candidate will be located in Dallas, TX.

Essential Duties & Responsibilities

  • Calendar Management: Manage and coordinate multiple complex calendars, ensuring seamless scheduling of meetings, appointments, and events across multiple time zones.

  • Travel Coordination: Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries, ensuring all details are accurate and aligned with preferences.

  • Presentation Preparation: Create, format, and edit professional PowerPoint presentations, ensuring accuracy, clarity, and visual appeal.

  • Meeting Support: Organize and prepare for meetings by gathering materials, taking notes, and ensuring action items are followed up on.

  • Communication: Act as a point of contact, handling correspondence, and screening emails and phone calls on behalf of the executive(s).

  • Project Assistance: Support on ad-hoc projects, including research, data compilation, and administrative tasks as needed.

  • Confidentiality: Maintain strict confidentiality and exercise discretion in handling sensitive information.

  • Organization: Manage expense reporting, filing systems, and other administrative processes to ensure efficiency and accuracy.

Education & Experience

  • Associate’s degree preferred, High School Diploma or Equivalent with relevant work experience required.

  • Proven experience as an Executive Assistant or in a similar role.

  • Proficiency in Microsoft Office Suite, especially PowerPoint, Word, and Excel.

  • Strong organizational skills with a keen eye for detail and the ability to prioritize multiple tasks.

  • Excellent written and verbal communication skills.

  • Experience in coordinating international and domestic travel.

  • Ability to work independently, anticipate needs, and take initiative.

  • Demonstrated ability to maintain confidentiality and discretion at all times.

  • Proficiency in Microsoft Office, Google Suite.

  • Familiarity with project management tools or CRM software.

  • Experience working in a fast-paced environment and supporting multiple leaders.

  • Strong design sensibilities for creating visually appealing presentations.
