Department: Governor’s Office (Economic Recovery Office)

The Governor’s Office of Economic Recovery was created in response to the COVID-19 pandemic and the overall need to coordinate the State’s economic response and oversight of the execution of funding designed to respond to the negative economic effects of the pandemic and ensure they are directed to transformational change. The Office, including staff embedded within departments implementing stimulus funding, is empowered to lead all Administration stimulus programs including working across bureaucratic silos and challenging existing agency thinking to achieve a bold result. The role of the Office has expanded to include the maximization of federal funding under the Infrastructure Investment and Jobs Act (IIJA) and the Inflation Reduction Act (IRA).

Description of Job

Position Title: Recovery Project Manager and Management Assistant

Hiring Range: $60,000 to $70,000

FLSA Status: Exempt

Organizational Relationships: This position reports to the Chief Economic Recovery Officer.

Term-limited : The position is funded through December 2026.

Expected Annual Travel: Occasional in-state travel.

Summary of Functions: The position of Recovery Office Project Manager and Management Assistant supports the Recovery Office leadership team, supports the operations of the Recovery Office, and assists with specific project implementation. The position will provide a critical role in ensuring there is ongoing communication within the Office. This position serves as administrative lead for the Recovery Office, coordinates meetings, provides quality control for recovery information and task gathering, general administrative assistance, manages office supplies and equipment needs, and provides scheduling support and other project support as needed. The position will provide opportunities for individuals to utilize their unique skill set to support the Recovery team as determined appropriate by leadership. The ideal candidate should be detail oriented, a strong leader, innovative thinker, and have the ability to work collaboratively with the Recovery team and other state agencies.

Candidates need to demonstrate emotional intelligence, including humility and empathy, self-reflection and personal growth, and a genuine willingness to receive feedback.

Roles and Responsibilities:

Administrative

  • Scheduling and coordination assistance for the Chief Recovery Officer and Recovery Office Leadership Team including managing scheduling, appointments, and calendars for the Chief Recovery Officer and leadership team

  • Manage Recovery Office administrative requests, including expense claims and supply orders for leadership.

  • Planning and execution of Office events and meetings, including:

  • Support for Office retreats, leadership meetings, and team meetings

  • Support summits and events

  • Planning site visits to projects involved with federal funds managed by the Office.

  • Supporting the management and tracking to the Office’s budget and administrative needs

    Recovery Office Operations

  • Develop and maintain systems of effective communication and coordination within the Recovery Office, including:

  • Management of specific requests made of Recovery Officers and the Recovery Office

  • Communicating weekly around Office priorities and needs

  • Tracking and communicating upcoming deadlines across the organization

  • Direct outreach/ongoing communication with the state agencies, stakeholders and partner organizations

  • Contribute to strategy and planning work, meetings, and other activities such as process improvement and other opportunities

    Project Support

  • Lead and complete research assignments as directed by supervisor and leadership team.

  • Special project management /coordination as directed by supervisor and leadership team.

  • Manage and assist on annual report submitted to the US Treasury.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Education/Experience :

This position requires a self-starter who is outgoing, enthusiastic and has a positive attitude plus good judgment. Candidates should have exceptional organizational skills and attention to detail; strong oral and written communications skills; problem solving acumen; and demonstrate personal integrity, confidence, diplomacy as well as flexibility. Excellent proficiency in Google Apps and Microsoft Word, PowerPoint, and Excel is essential.

  • High School degree is required; Bachelor's degree or a combination of required experience or accredited course work is preferred.

  • 2-4 years in an administrative role, preferably with previous Executive Assistant experience.
