General Purpose of Job:
Responsible for coordinating all aspects of student employment administration, including training on student employment policies, posting of open positions, processing tax forms, managing the student employment database, and processing the monthly student payroll. Also serves as back up for the faculty/staff payroll processing.
Essential Functions of Job:
Primary Tasks:
Under oversight from the Assistant Controller, administer student employment administration as follows:
Maintain accurate payroll records
Identify and resolve issues, coordinating with Assistant Controller for resolution
Review and verify timekeeping records to ensure compliance with company policy and coordinate with managers for necessary corrections
Train managers and employees on timekeeping system and payroll processes
Ensure accurate and timely processing of payroll updates such as new hires, terminations, job title changes, and pay rate changes in HR and accounting systems
Provide first contact employee support for student payroll issues
Collect and maintain records of federal, state and internal student employment forms and processes (I-9s, W4s, etc.)
Verify federal work-study eligibility for student employees
Participate in all registration events, scholarship days, and orientation to represent the student employment
Create and maintain campus job board (Handshake), including job descriptions and requisitions
Collect and maintain master list of all student employment positions, pay levels, and descriptions
Process monthly payroll for students
Assist Assistant Controller with compliance monitoring:
tracking exceptions
contact and follow-up on any issues of non-compliance (suspend budgets if non-compliance is evident and habitual)
Monitor supervisor/student trainings, job board postings, hiring procedures and refer to Assistant Controller for follow-up regarding compliance issues
Attend regular meetings with Viking Central, Financial Aid, Admin/Finance, Career Center to evaluate, correct, update, and maintain systems around student employment procedures
Serve as the back-up for the faculty/staff payroll processing
Qualifications and Requirements:
High school diploma required; Bachelor-s degree preferred
Previous experience with payroll processing preferred
Strong knowledge of payroll regulations, tax laws, and compliance beneficial
Ability to maintain a high level of confidentiality and extreme discretion
Self-starter with strong analytical and problem-solving skills
Ability to thrive in a fast-paced, evolving environment
Excellent customer service skills
Proficient in Microsoft Office
Ability to quickly learn new software and technology
Working Conditions:
Approximately 20 hours per week required (Monday - Friday), with the ability to flex the schedule throughout the month to accommodate the monthly payroll schedule.
Normal office environment with little exposure to excessive noise, dust, temperature, and the like.
