Executive Assistant/Office Administrator

 

Reporting to the CEO, the Executive Assistant performs administrative duties for the office.  Responsibilities include but are not limited to convening board of director meetings, corporate committee including but not limited to compliance and finance meetings, coordination of corporate travel arrangements for team members across the organization, and provides support to various departments in completion of corporate or contract related administrative tasks., The Executive Assistant position calls for flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. This position requires professionalism, resourcefulness and the ability to work in a confidential manner supporting all corporate initiatives. The position requires strong computer and internet research skills. 

Responsibilities:

  • Understand and represent PRITM 's mission, vision, and values to all internal and external customers
  • Engage clients in appropriate communication that manages client expectations and builds a collaborative relationship with the client
  • Interact with project team members in order to successfully fulfill contract obligations with the highest quality and in a timely manner meeting PRITM 's ISO requirements
  • Instills integrity throughout the organization via active participation in ISO requirements including but not limited to timely submission of Corrective Action Plans for all matters in which either PRITM standards and/or corporate contract standards have not been met. Communicating outcomes to team members to ensure a positive, open, environment which mitigates risk and achieves a culture of Continuous Quality Improvement.
  • Supports the CEO in execution of all corporate initiatives
  • Convenes PRI Board of Director meetings, QIO Board of Director meetings, and corporate committee meetings including compliance and finance committees,
  • Preparation and distribution of accurate minutes in support of corporate activities
  • Supports Chief Compliance Officer in development of organizational conflict of interest documents and other matters including maintenance of Compliance log.
  • Provides support within HR and Accounting Departments based upon need
  • Performs duties of Project Coordinators on contracts as needed
  • Manages administrative and customer service personnel on contracts as needed
  • Supports business development team and activities such as creating activity logs, development of past performance documents or resumes or quality assurance.
  • Supports Contracts Management Officer in document maintenance and preparation
  • Supports System Security Officer in document preparation for committee approval and Agency approval
  • Manages and coordinates corporate travel arrangements for team members across the organization.
  • Supports the development of financial packages through compilation.
  • Coordinates and manages matters associated with physical office requirements with IT and other staff or handles directly.
  • Manage administrative calendars when needed
  • Receive and greet visitors in a professional, friendly manner, determine purpose of visit and direct visitors accordingly
  • Manage visitor access to corporate offices; issue visitor security badges
  • Handle highly confidential and sensitive information that pertains to client issues
  • Prepare and distribute operational reports for distribution a variety of standard and/or special reports on a daily, weekly or monthly basis
  • Prepares presentations and supports speaker in development for corporate initiatives.
  • Perform document edits and manage document control
  • Conducts research; perform analyses and summarize data to facilitate interpretation or to highlight key aspects/trends
  • May prepare written reports and/or present data to ma agement
  • Answer and screen telephone calls to determine resolution or routing
  • Schedule and coordinate appointments and meetings
  • Prepare correspondence as necessary
  • Make travel arrangements, coordinate hotel arrangements, and keep related records
  • Order and manage office supplies
  • Perform other duties as requested

Requirements:

  • Associate degree required; Bachelor's Degree or Master's Degree, preferred
  • Minimum of 2-5 years' experience providing administrative support
  • Excellent written and verbal communications skills
  • Experience in a law firm and/or marketing is preferred
  • Must be an enthusiastic, positive team player who is willing to help out and who works well with colleagues
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation
  • Proficient user in Microsoft Office, Excel, Word, Power Point, and Outlook
  • Reliable, honest, and trustworthy; Integrity is required
  • Ability to communicate clearly and effectively, both verbally and in writing
  • Excellent organizational skills with the ability to multi-task - able to track and control activity on a variety of tasks
  • Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.  Excellent time management skills
  • Professionalism -- the ability to behave and communicate in an articulate and professional manner
  • Resourcefulness -- the desire to do whatever is necessary to help the team
  • Ability to be discrete and maintain high levels of confidentiality
  • Must have no conflict of interest (COI) as defined in 1154(b)(1) of the Social Security Act (SSA)
  • Ability to obtain and maintain U.S. Government Security Clearance
