Ricoh Americas Corporation Coordinator, Talent Acquisition in Exton, Pennsylvania

As a member of Ricoh’s Talent Acquisition team, the Talent Acquisition Coordinator will be responsible for providing comprehensive administrative and project support to support our overall recruitment process. This is not a recruiter position but supports our function in the US.

This may include providing ATS support, job postings, talent report preparation, organizing recruitment events, maintaining recruiting materials and websites, updating social media, and providing exemplary support to our recruitment team and business leaders during recruitment efforts.

With a customer-centric focus, this role will also provide key support for larger scale hiring projects and implementations by creating candidate communications, facilitating the application process, following up with hiring managers, and monitoring the offer and onboarding process.

The TA Coordinator will also play an active role with scheduling interviews and greeting candidates at our Corporate Headquarters as needed.

JOB DUTIES AND RESPONSIBILITIES

Recruiting Support (general)

  • Provides outstanding service and creates a positive interaction with candidates, hiring managers and interview teams throughout the hiring process.

  • Owns and manages processes for internal candidate transactions such as promotions, transfers, and demotions and pursues the appropriate process and communication plan for each.

  • Assists with hiring projects, such as helping to formulate strategy around diversity engagement and recruiting by researching relevant organizations at the direction of the Senior Manager, and being the point of contact with the diversity vendors which whom Ricoh has a direct relationship (such as Direct Employers).

  • Coordinates and attends recruitment events, both onsite and virtual (registration, scheduling attendees, packing/shipping materials, communicates details to attendees prior to the event, assist with advertising, etc.).

  • Plays a key role in organizing and executing large scale hiring implementations (assumptions) by providing administrative support, monitoring candidate progression and communication with candidates and key stakeholders.

  • Responsible for documenting new and/or improved internal processes and procedures, innovates and develop processes as needed.

  • Provides support with job advertisements, social media presence and internal job postings; responsible for executing administrative processes around our branding campaigns Glassdoor, Linked In etc.

  • Administratively supports our internship programs; develops and maintains contact information for Colleges, Universities, Technical and Vocational Schools in partnership with the HR internship team.

Recruiting Support (onsite)

  • Assists with the coordination of calendars for on-site interview logistics for internal and external candidates

  • Greets and escorts candidates for interviews at our Corporate Headquarters as needed.

Reporting

  • Provides administrative support to the Recruiting Team by monitoring ATS, job postings, and talent report preparation.

  • Creates and/or maintains ad hoc reports and distributes them to various internal customers, with support from internal reporting team as needed.

  • Performs some duties as an ATS system administrator, conducts audits and runs reports from our ATS (for example, pay disclosure compliance, referral bonus tracking, etc.).

Systems Support

  • Acts as first level of support for ATS related inquiries and serves as ATS subject matter expert; may assist in the design and facilitation of ATS system and recruitment process training for hiring managers.

  • Updates internal websites to enhance our communication with hiring managers and internal candidates.

  • Maintain data accuracy within applicant tracking system ensuring real-time information entry.

  • Other duties as assigned.

QUALIFICATIONS (EDUCATION, EXPERIENCE AND CERTIFICATIONS)

  • Requires a 4-year college degree in Human Resources or a related field.

  • Previous experience with high-volume, full-cycle recruitment experience for professional-level hires is preferred.

  • Prior experience and proficiency working with an Applicant Tracking or Candidate Management System preferred; experience in Oracle HCM Recruit is strongly preferred.

  • Proficiency MS Office Suite is required.

  • Proficient with utilizing Social Media (for example, LinkedIn).

  • Ability to handle confidential information with discretion and sound judgment.

  • Strong work ethic, integrity and personal accountability.

  • Outstanding interpersonal, verbal and written communication.

  • Previous experience in a Corporate or Headquarters setting preferred.

WORKING CONDITIONS, MENTAL AND PHYSICAL DEMANDS

  • Typically, an office environment with adequate lighting and ventilation, and a normal range of temperature and noise level.

  • Work assignments are diversified. Interpret, comprehend and apply complex material and convey diversified information

  • Minimal physical effort required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that typically with less than 10 lbs. (e.g., papers, books, files and small parts, etc.).

  • Moderate dexterity – regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination.
