Position Description

TheDevelopment Coordinator of Database & Researchplays a critical role in the success of the development team at GMHC. This position is responsible for managing and maintaining the donor database, ensuring data integrity, and providing the development team with accurate reports and analytics to support data-driven decision- making. The Development Coordinator of Database & Research will also provide training and support to staff on database usage, ensuring that the team can effectively utilize the system to achieve fundraising goals.

EssentialJobFunctions

InstitutionalFundraisingStrategy

  • Develop and implement a comprehensive institutional giving strategy that aligns with the organization’s mission and strategic goals.

  • Identify and research prospective institutional funders, including foundations, corporations, and government agencies, to build a robust pipeline of funding opportunities.

  • Collaborate with the Senior Vice President of Development and other senior leaders to integrate institutional giving efforts into the overall development strategy.

DatabaseManagement

  • Oversee the day-to-day operations of the donor database in Salesforce, ensuring that all data is accurately entered and maintained.

  • Implement and maintain procedures for data entry, data cleaning, and data integrity to ensure the highest quality of donor information.

  • Regularly audit Salesforce to identify and correct any inconsistencies or errors.

ReportingandAnalytics

  • Generate and distribute regular reports on fundraising performance, donor segmentation, and other key metrics to the development team.

  • Work with IT personnel to create custom reports and dashboards to provide insights into donor behavior, fundraising trends, and campaign effectiveness.

  • Support the development team in the use of data analytics to inform fundraising strategies and decision-making.

TrainingandSupport

  • Provide training to staff on the use of the donor database, including data entry, reporting, and best practices for maintaining data integrity.

  • Serve as the primary point of contact for database-related questions and issues, working with IT personnel to provide timely and effective support to staff.

  • Develop and update training materials and documentation to ensure that staff have access to the information they need to use Salesforce effectively.

DonorRecordsManagement

  • Maintain accurate and up-to-date donor records, including contact information, giving history, and engagement activities.

  • Work closely with the development team to ensure that donor information is captured accurately and consistently across all fundraising efforts.

  • Support the development team in managing donor stewardship activities by ensuring that donor records are complete and up-to-date.

CollaborationandIntegration

  • Collaborate with the finance team to ensure that donor records are accurately reflected in financial reports and reconciled with accounting systems.

  • Work with other departments to integrate the donor database with other systems, such as marketing automation and event management platforms, to streamline operations and improve data accuracy.

  • Partner with the SVP of Development to align database management practices with the GMHC’s overall fundraising strategy.

Supervision & Oversight

  • Oversee Grant Writers to ensure proposals are aligned with organizational goals and meet funder requirements, monitoring their performance for quality, deadline adherence, and compliance with standards.

  • Manage resource distribution among Grant Writers to optimize productivity, ensuring they have access to current data and research for crafting compelling grant applications.

  • Facilitate ongoing professional development, providing regular feedback and conducting review sessions to enhance writing and research skills.

  • Lead team meetings to discuss upcoming grant opportunities, share insights from feedback, and strategically coordinate efforts to maximize grant success rates.

Requirements

EducationandCertification

  • Bachelor’s degree required

  • Minimum of 3 years related professional experience required preferably with a non-profit

  • Salesforce Accredited Professional Certification preferred

Technical Skills

Salesforce Expertise

  • Advanced proficiency in Salesforce for comprehensive CRM tasks including data entry, custom report generation, and query building.

  • Capable of troubleshooting system issues, optimizing workflows for efficiency, and maintaining high data integrity to enhance donor relationship management.

Microsoft Office Suite

  • Excel:Expert-level skills in Excel for data analysis, including use of pivot tables, VLOOKUP, complex formulas, and generating detailed reports to manage and interpret fundraising data effectively.

  • Word:Proficient in creating detailed documents, utilizing advanced formatting, and integrating graphical elements as needed.

  • PowerPoint:Skilled in crafting engaging presentations tailored to various audience levels, incorporating advanced design and animation features.

  • Teams:Basic knowledge in using Microsoft Teams for collaborative projects, meetings, and real-time communication within the organization.

  • Outlook:Basic familiarity with Outlook for email management, scheduling meetings, and organizing contacts to enhance daily communication efficiency.

Fundraising and Marketing Platforms

  • Intermediate proficiency with platforms such as Classy, Constant Contact, and Pardot for executing fundraising campaigns, managing email marketing initiatives, and enhancing donor engagement through targeted outreach.

Research and Prospecting Tools

  • Experienced with research tools like Relationship Science, ZoomInfo, and the Foundation Center for conducting thorough donor and prospect research.

  • Proficient in using wealth screening databases to analyze potential giving capacity and develop informed, strategic fundraising approaches tailored to individual donor profiles.

Work Environment & Schedule

This is a remote position:

  • This role will perform their duties remotely, as directed by their supervisor and according to the specific requirements of the program or department.

  • Participation in the annual AIDS Walk New York event is mandatory for all GMHC staff.

Physical Demands

While carrying out the responsibilities of this role:

  • Sitting:The position predominantly involves sitting for extended periods, which is typical for office environments. The employee will be required to maintain this position while performing most of their daily tasks.

  • Communication:Regular participation in conversations is necessary. This involves both speaking and actively listening to colleagues, stakeholders, and external partners during meetings, presentations, and one-on-one discussions.

  • Note-Taking:The ability to listen attentively and take detailed notes during meetings and other communicative sessions is crucial. This often requires a high level of focus and the manual dexterity to write or type for prolonged periods.

Salary Description
