Full-time - 37.5 Hours Per Week

Tuesday - 8:00 am to 4:00 pm

Wednesday - 8:00 am to 4:00 pm

Friday - 8:00 am to 4:00 pm

JOB DUTIES & RESPONSIBILITIES:

  • Provides full, direct supervision to all staff in the Centers for Reproductive Health including business staff and administrative supervision of clinical staff.

  • Ensures proper program/site specific orientation and training and agency required orientation is completed for new hires; ensures required training is completed timely and documented on an ongoing basis.

  • Oversees services provided by staff in a grant-funded environment are performed within contract requirements and regulations.

  • Collaborates with Practice Director to design and implement growth plans to ensure maximum reimbursement and profitability.

  • Assists with budget development across multiple funding sources and fee for service lines. Monitors financial status of the Centers and makes recommendations to meet fiscal objectives.

  • Acts as a primary point of contact for regulatory and oversight agencies. Ensures completion and submission of all grants(s) related documentation.

  • Schedules coding audits and additional professional services as needed with guidance from the Practice Director.

  • Develops workflows to streamline service delivery and assure centers are running successfully and efficiently.

  • Actively engages in the planning and implementation of outreach efforts to gain community awareness of program services.

  • Assists Practice Administrator with ensuring clinical protocols are up to date and followed thoroughly and accurately by staff.

  • Oversees the daily management of patient records, acts as medical records custodian and ensures records are complete, accurate, and safeguarded.

  • Ensures completion of all agency data collection methods, satisfaction surveys, and logic models.

  • Acts as agency point person for HealtheConnections RHIO user authorization requests and completes annual audit.

  • Assists in the management of medical emergencies as directed by Provider staff.

  • Maintains effective professional relationships with other service providers and community organizations.

  • Ensure staff meetings are held routinely, develops agenda and ensures follow up from each meeting is addressed, ensures meeting outcomes are communicated to all staff.

  • Coordinates staff scheduling to always ensure quality services and staff coverage.

  • Ensures the appropriate level of Personal Protective Equipment is always available.

  • Oversees and monitors clinical and business supply ordering and inventory; ensures internal inventory controls are followed for use and storage of pharmaceuticals and other medical supplies.

  • Oversees performance management; completes performance appraisals for staff and is the primary point person for agency progressive discipline processes.

  • Responsible for general oversight of the facility; monitors maintenance and cleaning.

  • Carries out administrative duties; attends professional conferences and seminars for skill maintenance and enhancement.

  • Oversees billing and coding procedures for insurance claims and patient accounts; works with 3rd party billing organizations and additional vendors to ensure billing completion and compliance.

  • Maintains and updates medical records and patient confidentiality practices.

  • Oversees the ordering and purchasing of new IT equipment for all sites.

  • Assists Practice Administrator with various levels of licensure obtainment, renewal, and/or termination.

JOB REQUIREMENTS:

  • Must be experienced in the operation of a health care facility and Title X regulations; must follow State and Federal Regulations.

  • Must stay current on all Program/Agency policy and Procedures and ensure that Program related Policies and Procedures and followed-up on regularly.

  • Must have the ability to work with a large cross-section of patients in a confidential, warm, non-judgmental, objective manner.

  • Must be able to show positive leadership and stability in the rapidly changing health care environment. Must stay current on changes within the health care system by attending regular training.

  • Maintain a high degree of confidentiality and exhibit professionalism, good management skills, and good judgement.

  • Must have a commitment to quality patient care for all patients served; ensure all staff act in accordance with the program mission.

  • Must have the ability to review and analyze data for practice growth and stability.

MINIMUM QUALIFICATIONS:

  • Bachelor’s Degree in Healthcare Management, Business Administration, or related field (preferred); and

  • 3-5 years health care management and supervisory experience in ambulatory healthcare and extensive experience utilizing Electronic Medical Record Systems.

  • Excellent communication (both oral and written), interpersonal, organization, and leadership skills required.

  • Any equivalent combination of education, licensure, health care experience, and training may be considered.
