The Office of Finance, Administration and Operations (FA&O) provides critical support to the mission and forward-thinking strategic initiatives while managing $325 million in operating activity, stewarding $1 billion in assets and supporting 1400 faculty and staff. The Business Systems and Functional Support (BSFS) team is within FA&O and provides oversight and support for financial and administration systems for all of FA&O and campus. (Finance, Accounting, Budget, Payroll, Research and Human Resources). This position reports to the Director of Business Systems and Functional Support (BSFS) and manages a team of two Workday System Administrators direct reports. The BSFS department reports to the Deputy Chief Financial Officer.
The Assistant Director of Human Capital Management (HCM) Systems must be able to drive the university’s strategic goals, advance systems performance and provide seamless solutions for Mines faculty, staff and students. They must be able to affect change across a complex organization and maintain high customer service levels while meeting project deadlines.
The Assistant Director of HCM Systems will oversee both the strategic development and day-to-day work of Mines Workday modules including Core HCM, Recruitment, Onboarding, Compensation, Benefits and Employment Services and associated processes within Workday. The position requires an experienced human resources professional who can understand complex business requirements and envision new and improved business processes and system solutions to streamline operations and create efficiencies. The position will develop relationships and collaborate with stakeholders across all functional areas (e.g., HR, Payroll, Finance, IT, and Academic Affairs, ) to maintain and develop processes to support best in class operations and excellent employee experience.
Mines utilizes two enterprise resources systems: Workday (finance and HR) and Ellucian (student). In addition, this BSFS provides support and administration for a contracting and research system, the budget planning model Adaptive, and several other ancillary systems. The incumbent must communicate technical information effectively across multiple formats for non-technical audiences. This is a professional position that requires exceptional analytical and communication skills.

Colorado residency required at time of start:This position may be eligible for hybrid work (from Colorado) and requires an on-campus presence two days or more each week. This position also requires some work hours outside the normal workday to address potential system issues and lock-out periods. The Colorado School of Mines provides dedicated professional development and training. Onboarding for this position includes training on policies and procedures, and technical training opportunities for systems and technology required for this role.
Description of Job
Workday HCM Administration (55%)
Provide strategic leadership and oversight to technology solutions that drive efficiency and effectiveness for financial and administrative processes within Workday (Core HCM, recruitment, onboarding, benefits and employment services). This position will manage the system administration and administrative functions. Examples include but are not limited to:
Configure Workday to support stakeholder strategic initiatives. Assist stakeholders in making changes to Core HCM, Recruiting, On-boarding, Benefits and Employment Services business processes.
Ensure in-depth documentation for change management. Provide project management of strategic goals scheduling meetings, creating and updating project plans
Facilitate weekly prioritization meetings and manage backlog and ongoing requests.
Workday business processes are current and align with regulatory requirements which includes delegated access to perform appropriate HR activities
Continuously increases knowledge in Human Resources technology by serving as an expert on functional capabilities, staying informed on product capabilities and trends, and interacting with the Workday
Provide rigorous testing protocols and innovative programming solutions, by continuously enhancing system functionality, streamlining processes, and minimizing errors. Manage work across development, sandbox and production tenants.
Monitor the day-to-day campus requests for HCM requesting access to features in Workday.
Manage the ticket queue and ensure resources are allocated to mitigate backlogs.
Perform role and user security administration for HR across campus, with heightened awareness of role-based security and confidentiality.
Provide support to all HR teams related to updating business processes and moving organizational structures.
Resolve escalated issues from operations that require coordination with other departments, including Human Resources, Finance departments and Information Technology and external contractors.
Partner with the IT Integrations team on HR and Payroll integrations facilitating configurations in Production and participate in any Integrations not functioning as expected.
Implement New Technology (20%)
Lead the review, testing and implementation of new Human Resources systems and/or modules and functionality. Seek out and explore technology solutions that drive efficiencies and improved customer experiences
Advise and influence campus needs and leverage the capabilities of Workday and other HR systems to maximize system efficiencies and the investment in Workday.
Maintain standardized testing plans for new technologies.
Manage project implementation plans while collaborating with functional users and the university’s IT unit.
Participate in budget proposals for implementation costs and maintenance resources for new technologies.
Lead and/or participate in campus feedback sessions to ensure continuous improvement of system processes.
Provide Leadership Oversight (25%)
Ensure a highly trained and engaged team, providing high quality services to campus.
Facilitate meetings with direct reports reviewing status updates and guidance to issues that are barriers.
Partner with the Director of BSFS to determine professional development opportunities and a plan for each team member.
Conduct mid-year and annual performance reviews for direct reports.
Review direct reports system documentation and system changes as part of a peer review process.
Foster a cohesive collaborative team supporting Human Resources and Employment Services stakeholders.
SALARY AND BENEFITS
$105,600 - $110,000 annually

MINIMUM QUALIFICATIONS
Education and Experience:
Bachelor’s degree in related field. Substitution on direct Workday experience will be considered on a year-for-year basis.
Two years’ experience in development and configuration of Workday Systems.
Two years’ experience in a HR role or supporting HCM systems and business processes.
Two years of supervising employees.
Knowledge, Skills, and Abilities:
Must be able to interpret needs of departments and processes to translate into Workday functionality.
Excellent customer service support to constituents.
Must be well organized with keen attention to detail and demonstrate effective -through.
Operate with discretion and discernment when working with highly sensitive data.
Success collaborating with a variety of constituents when providing training and guidance.
Lead complex problem analysis and design solutions that support HR across campus.
PREFERRED QUALIFICATIONS
Education and Experience:
Master’s degree in related field.
Experience leading HCM systems within a highly developed HR organization in Higher Education.
Certifications and Licenses:
