SUMMARY

Provides high-level administrative support to a large department and/or director(s) of a large department. Communicates and collaborates with a variety of people at various levels in and outside the organization on broader, more complex and higher profile issues than an Administrative Secretary or Administrative Clerk role. Initiates, develops and composes written communication; gathers and enters data, and prepares data reports. Decision making authority extends beyond prioritization of own work to independent problem solving and managing of schedules and priorities.

QUALIFICATIONS

Minimum: Associate’s Degree in business or related field; or an equivalent level of education and experience.

Preferred: Bachelor’s Degree.

Minimum: Three years of administrative experience.

Strong ability with Microsoft Word, Excel, PowerPoint

ESSENTIAL FUNCTIONS

  • Professional presentation with effective verbal, written, and interpersonal communication skills and the ability to comfortably interact with diverse populations.

  • Ability to work collaboratively in a team-oriented environment with a strong customer-service orientation. Demonstrated ability to prioritize effectively, multi-task, and be flexible in adapting to change.

  • Assists in the administration and maintenance of a comprehensive and specialized credentialing program to assure continued accreditation by the Joint Commission (TJC) and other regulatory organizations.

  • Facilitates tasks required for the efficient onboarding of employed providers.

  • Performs tasks related to the initial application, reappointment and resignation processes for employed and independent medical staff, APPs, and locum tenens, including initiating internal processes, data entry, performance of primary source verification, and new facility credentialing processes.

  • Maintains accurate, confidential credentialing records, including committee rosters and participation.

  • Maintains accurate computerized credentialing database information and updates the MSOW system as appropriate. Maintains ongoing monitoring of all expirables processes and communicates status of compliance with the director and manager.

  • Assists with the coordination of special events for the Medical Staff, including the annual General Medical Staff Meeting, Medical Staff Family Event, activities, and other events.

  • Provides office support for the Director, Medical Staff Services and Medical Staff leadership, incoming and outgoing correspondence, telephone calls, catering and room scheduling requests, and general customer service.

  • Maintains knowledge of current trends and developments in the field by reading appropriate books, journals and other literature, completed Healthstream modules, participating in professional development activities, and maintaining active involvement in related conferences, seminars, and professional networking opportunities.

  • Performs other related duties as assigned.

LOCATION/HOURS

-located downtown at the main hospital in the Medical Staff Affairs office

-Full Time, 40 hours per week, benefit eligible, Monday-Friday, day shift
