Aston Carter HR Assistant in Irvine, California

We are seeking an organized, data-driven HR Admin/Assistant to join their growing HR team. The ideal candidate will be proficient in administrative HR duties, with a focus on organizing personnel files, auditing, and assisting with employee engagement activities. You will work closely with the HR team, providing essential support while helping with back-end processes to ensure smooth operations.

Key Responsibilities:

  • Personnel File Management: Organize, scan, and upload paper documents to the HR database.

  • Auditing: Conduct audits of personnel files, timesheets, and separation files to ensure compliance.

  • HR Reporting & Analytics: Utilize Excel (pivot tables preferred) to create data-driven reports and potentially build an HR dashboard.

  • Employee Engagement & Recognition: Assist in organizing employee engagement events and recognition programs.

  • New Hire Support: Facilitate new hire activities and onboarding, including tracking new hires and sending reports for payroll review.

  • Multi-State Experience: Support HR processes for hourly employees across various states (primarily California and North Carolina) by learning state-specific rules and regulations.

  • Internship Program Support: Assist with the internship program, including facilitating career fairs and other recruitment activities (handled by onsite recruiter).

  • General Administrative Support: Manage the HR inbox, respond to inquiries, and handle day-to-day administrative tasks.

Desired Skills & Qualifications:

  • Experience: 1-2 years of experience in HR assisting or coordination.

  • HR Systems Knowledge: Familiarity with ADP and Workforce Now (Total Source) is a plus.

  • Excel Proficiency: Strong Excel skills (pivot tables and data analysis) to support the data-centric nature of the role.

  • Attention to Detail & Organization: Highly organized with strong attention to detail and the ability to manage multiple priorities efficiently.

  • Communication Skills: Excellent written and verbal communication skills, with a focus on professionalism and presentation.

  • Problem-Solving & Adaptability: Ability to work independently with minimal supervision, take direction, and be open to suggestions.

  • Personality Fit: This role requires someone adaptable, with a balance of versatility for administrative work and the ability to assist in coordinating employee engagement activities.

  • Experience with Remote & In-Office Work: Must be comfortable working 100% onsite but can work remotely on Tuesdays and Fridays depending on the needs of the team.

Work Environment:

  • Team: The company has approximately 75 employees, and this role will support HR operations across multiple locations.

  • Work Schedule: Standard business hours from 8:30 AM to 5:00 PM, with flexibility once a schedule is established.

Pay and Benefits

The pay range for this position is $24.00 - $28.00/hr.
