Description Summary:

Under the direction of the Operations Manager, the AR/AP Specialist maintains accounts receivable

records, the posting of payments, and supports the sales and customer service departments. This

position will also be responsible for all aspects of accounts payable including initial receipt of

documentation from vendors/suppliers, data entry, weekly check processing, and filing of payment

documents.

Accounts Receivable Essential Functions:

 Research and resolve inquiries from customers and respond in a timely and detail oriented

manner.

 Maintain strong, effective working relationships with sales and customer service departments

for the timely resolution of order entry and billing issues.

 Responsible for the collection and recording of all incoming funds.

 Post all forms of payments, including Cash, Checks, ACH, Wire and Credit Card batches

 Prepare weekly bank deposits.

 Reconcile daily credit card deposits and resolve discrepancies as needed.

 Open, close and balance cash drawers on a weekly basis and assist with resolving over/shorts.

 Accurately and timely maintain all electronic and paper accounts receivable files and sales tax

exemption files to be uploaded to third party software.

Accounts Payable Essential Functions

 Code and distribute invoices to appropriate department manager for payment approval.

 Interact with vendors, purchasing, and departments for information, training, and problem

resolution.

 Manage weekly check processing to ensure timely payments within vendor terms.

 Match printed checks with supporting documentation and present to check signer(s).

 File and maintain all accounts payable files

 Communicate directly with vendors regarding account status and provide excellent

customer service to address any questions or issues.
