The Department of Medicine, Division of Infectious Diseases has an exciting opportunity for a Full Time Sr. Administrative Assistant to work in the UHealth Campus.

Core Job Summary:

The Sr. Administrative Assistant performs a variety of clerical functions and office support activities for assigned department(s) to facilitate the efficient operations of the office.

Core Responsibilities:

  • Provides administrative support to the Division Chief with matters related to collaborations with faculty, administrators, staff, members of the university, and other organizations.

  • Supports the Division’s research teams with any administrative duties as needed.

  • Responsible for updating the Division’s website, including identifying new research and/or community outreach programs, updating faculty records, and liaising with web development on routine maintenance.

  • Assists with ID Guest Seminars and faculty recruitment initiatives, including travel arrangements, reimbursements, and campus meetings.

  • May provide ancillary support to physicians, clinical activities, business services, student services, etc.

  • Gives recommendations for operational and administrative problems.

  • Assists with maintaining the Infectious Diseases Division’s Education, Faculty, and Home webpages on the University of Miami Miller School of Medicine website.

  • Collaborate closely with the Project Coordinator to ensure seamless workflow and provide coverage during absences or high-demand periods, maintaining consistent support and operational efficiency.

  • Other duties assigned

Core Qualifications:

  • High School Diploma or equivalent

  • Minimum 3 years of relevant experience in medical or healthcare setting

  • General knowledge of office procedures and operations

  • Ability to accurately prepare and maintain records, files, reports and correspondence.

  • Ability to communicate effectively in both oral and written form

  • Ability to maintain effective interpersonal relationships

  • Ability to process and handle confidential information with discretion

  • Skill in completing assignments accurately and with attention to detail

  • Proficiency in computer software (i.e. Microsoft Office)

    Any relevant education, certifications and/or work experience may be considered.
