Schedule: 30 hours per week, Monday through Friday. The Minnesota Center for Philosophy of Science (MCPS) seeks to hire an Administrative Specialist (1826: LR-Clerical) responsible for supporting the Principal Investigator (PI) on the MCPS research project "Consortium for Advancing a Science of Purpose" (CASP). The Administrative Specialist is responsible for booking venues, menus, and accommodations for all conferences, workshops, and events related to CASP, along with collecting, documenting, and submitting related travel reimbursements and processing honoraria. This position reports to and works closely under the direction of the project PI and MCPS Director, Alan Love. This is a 75% time position (30 hours/week). Flexible work arrangements can be negotiated. This position is temporary with an expected end date of 12/31/2025. The Minnesota Center for Philosophy of Science is located on the West Bank of the Minneapolis campus of the University of Minnesota. Job Duties/Responsibilities: Plan workshop/conference/summit communication and organization (70%) Research and book event venues at locations across North America and Europe Oversee event catering Plan event administration communications for different consortium member groups and partners, including outside commentators Work closely with PIs of consortium member projects while organizing local event Coordinate travel arrangements for consortium members (airline reservations, hotel reservations, and meeting registration) related to conferences and workshops on the project. Point of contact for travel expense inquiries Keep records of expenses Financial Administrative Support of Faculty and the grant (20%) Collect, prepare, and submit TDX tickets for reimbursements for conference and workshop travel for the consortium members, including foreign reimbursements Submit TDX tickets to process honoraria for consortium members and external participants related to different activities and events Monitor and track expenses against project budget and ensure compliance with grant requirements Coordinate with accounting staff to prepare, maintain, and present MCPS budgets and financial projection Provide research and administrative support for CASP and faculty (10%) Stay current and maintain up-to-date information on University policies and procedures Assist all programs, as needed Other duties as assigned Qualifications Required Qualifications: High School Diploma/GED and two years of related office and administrative experience. Training/education may be substituted for some of the years of experience. Computer experience required. Specific knowledge/skills may be required. Experience supporting multiple professionals in a higher education setting. Experience supporting complex calendaring schedules using electronic calendaring methods and tools. Customer service experience supporting multiple professionals and interacting professionally with a wide and diverse range of people (e.g., executive leaders, faculty, staff, students, visitors, and vendors). Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint, as well as Google calendar. Preferred Qualifications: Experience in higher education, research setting. Experience working with complex, multi-institutional research projects.
