Job Description

The Transportation Division of AECOM is actively seeking a creative, highly talented Office Management Specialist IV for immediate employment in the Murray, UT office. This position provides the opportunity to work on large, unique, and complex transportation projects in Utah.

The responsibilities of this position include, but are not limited to:

  • Perform administrative duties on UDOT, local government, and federally funded construction projects

  • Assist to ensure project conformance with UDOT specifications and federal regulations

  • Adhere to UDOT guidelines with electronic files including Masterworks, ProjectWise, Project Explorer, Citrix, eComply, and CMS.

  • Utilize UDOT’s web-based software – Masterworks – to add team members to the project, set up projects to begin construction, approve sublets, create time reports, calculate ACA/FCA, enter stockpile payments, generate contractor pay estimates, construction closeout, and other construction related documentation efforts.

  • Manage and monitor DBE goals and OJT training commitments

  • Review/oversee all submitted contractor payrolls and required documents for all required projects per UDOT/federal regulations. Assist contractors with compliance.

  • Assist with utility invoices and payments for UDOT Utility Agreements

  • Review EEO interviews and crosscheck with contractor payrolls. Address any civil rights concerns.

  • Review and accept bulletin board reviews

  • Delegate or complete DBE assessments to confirm that DBE regulations are met

  • Communicate with inspectors, contractors, UDOT, and partner consultants

  • Upload project documentation to ProjectWise

  • Organize and attend preconstruction conferences and weekly construction meetings. Send out meeting materials and meeting notes for said meetings.

  • Manage project closeouts, audits, and reviews.

  • Coordinate with field staff to ensure timely construction reporting

  • Assist, be a resource, and support other team members

  • Perform administrative duties for the CM team, ie. Manage and process mileage records and client invoicing

Qualifications

Minimum Requirements:

  • BA/BS + 6 Years of relevant experience or demonstrated equivalency of experience and/or education.

  • Detail oriented

  • Organizational skills and ability to prioritize tasks effectively and efficiently

  • Good customer service, communication, and interpersonal skills

  • Excellent computer skills required, including but not limited to spreadsheet creation & manipulation (Excel), word processing, and web knowledge

  • Motivated, quick learner with proficiency in basic math

  • Ability to problem solve and research

  • Ability to work overtime during construction season if needed

  • Must possess valid driver's license and be able to travel as needed

Preferred Requirements:

  • AGC/UDOT Partnering Certification

  • Experience using ProjectWise

  • Familiarity with UDOT and project-specific reference documents (plans/specs, proposals, Construction Manual, Documentation Guide, etc.) -

  • Due to the nature of this work, U.S. citizenship is required

Offered compensation will be based on location and individual qualifications. The expected range is $62,895.00 - $116,356.00.
