Description

The Part-Time Receptionist plays a key role in supporting the administrative operations of the Testing Center, ensuring an efficient and welcoming experience for all clients. This position is responsible for maintaining the front desk, managing phone inquiries, and assisting with client check-in and check-out procedures. The receptionist will also handle paperwork, data entry, and general administrative tasks to support the smooth operation of the Testing Center.

Additionally, this role involves entering confidential client-level testing data into agency databases such as AIRS, AWARDS, and other Electronic Health Record (EHR) systems, ensuring accurate and timely documentation. The receptionist will collaborate with Testing Center staff to maintain data integrity and facilitate seamless client services.

Essential Job Functions

The following duties are mandatory requirements of the job:

Client Support & Reception Duties

  • Greet and assist clients in a professional and welcoming manner.

  • Manage the check-in and check-out process using established systems and procedures.

  • Maintain an organized and clean reception area to create a supportive environment for clients.

  • Answer and direct phone calls professionally while managing front desk operations.

Data Entry & Documentation

  • Accurately enter client demographic and testing records into AIRS, AWARDS, and other EHR systems.

  • Label, file, and scan client records to ensure efficient record-keeping and retrieval.

  • Maintain confidentiality and data security in compliance with organizational policies.

Administrative Support

  • Assist the Director and Testing Center staff with clerical and administrative tasks.

  • Perform general office duties, including filing, copying, shredding documents, and mailing.

  • Support the distribution of HIV self-test kits to clients.

Other Responsibilities

The following duties are to be performed as assigned by the supervisor:

  • Support quality improvement initiatives.

  • Assist with special projects as assigned.

  • Attend program meetings, agency meetings, and relevant training sessions.

Requirements

Education and Certification

  • High school diploma or equivalent required.

Special Skills and Knowledge

The ideal candidate will have:

  • Experience with data entry and database management.

  • Strong attention to detail and ability to maintain accuracy in repetitive tasks.

  • Excellent organizational and time-management skills.

  • Intermediate proficiency in Microsoft Office (Word, Excel, Outlook, etc.).

  • Ability to manage multiple clerical tasks while professionally handling phone inquiries.

  • Strong interpersonal and communication skills to interact effectively with clients and staff.

Work Environment & Schedule

  • Part-time, hourly position

  • In-office role requiring on-site presence

  • Minimum of 21 hours per week with the following schedule:

    o Monday, Tuesday, and Thursday – On-site workdays o Wednesday – Mandatory 1-hour staff meeting (attendance can be in-person or virtual)

Physical Demands

While performing the duties of this role, the employee is required to:

  • Sit for extended periods while engaging in conversation, listening actively, and taking notes.

  • Use standard office equipment, including computers, telephones, and printers.

  • Occasionally lift and carry up to20 lbs.(e.g., office supplies, files, or small equipment).

Salary

$20 per hour
