ASPCA Transport Coordinator New York, New York

Summary:

Are you passionate about connecting people and animals in a real and tangible way? If so, you should consider the role of Coordinator, Transport at the ASPCA's Adoption Center in New York City.

The Coordinator, Transport (the Coordinator) facilitates deep engagement in the mission of the ASPCA through the planning and execution of the transport of animals out of the Adoption Center to destination shelter partners, and fulfills operational transportation needs for Adoption Center programs. You'll be a member of a high-performing staff and volunteer team providing care for +/-3,000 at-risk pets per year and will work collaboratively and effectively with internal and external stakeholders to further the ASPCA's ultimate desired outcome that all animals live good lives.

The Adoption Center currently provides shelter and adoption for five groups of animals:

1. Animal victims of cruelty and neglect brought to us by the NYPD

2. Animals brought to us through our Community Engagement team

3. Underage kittens and other medically compromised stray animals

4. Animals surrendered by their owners and in need of adoption into new homes and

5. Animals transferred in from shelter/rescue partners

The Coordinator is responsible for the proactive planning and execution of animal transports for the Adoption Center; this includes but is not limited to animals transported to shelter partners in other states, individual animals transferred to local rescue partners, transports to/from local foster homes, medical appointments or other locations as indicated.

Responsibilities:

Responsibilities will include, but are not limited to:

Animal Placement (40%)

  • Plan and execute strategic, ongoing transports of Adoption Center animals in partnership with the ASPCA Relocation & Placement team and Adoption Center teams (including Behavior, Medical and Shelter staff)
  • Work with the ASPCA Centralized Placement (CP) team, Animal Recovery Center (ARC), Canine Annex for Rehabilitation and Enrichment (CARE) placement teams, and Adoptions Behavior and Medical teams to identify and prepare animals who are appropriate for outbound transfer
  • Coordinate with CP on animals available for placement from the department, understanding their level of readiness for placement, other placement pathways being explored, and individual animal needs for placement
  • Proactively identify, track and create placement materials for animals in need of placement, maintaining real-time, accurate animal records
  • Create, share and maintain comprehensive bios for Adoption Center animals who are potential candidates for transfer, coordinate animal selection among partner shelters
  • Utilize shelter databases and other resources to ensure detailed knowledge of animals pitched for transfer, and reply to internal requests for information accordingly
  • Ensure compliance with state importation requirements
  • Ensure all transfer documents are current and compliant with Legal and Relocation & Placement team requirements
  • Ensure animal vaccination and health certificate documentation is current and compliant with Medical and Relocation & Placement team requirements
  • Participate in Medical, Behavior, Sheltering Rounds (MBS) to ensure appropriate transport candidates are identified, discussed and prepped efficiently
  • Process and complete outgoing transfers of animals in the shelter database
  • Manage and maintain all associated animal placement and transfer documentation and data reporting

Animal Transport Logistics (40%)

  • Operate ASPCA passenger vehicles
  • Serve as the primary driver for Adoption Center operational transport requests
    • Coordinate other ASPCA approved drivers as required
  • Lead outgoing transfers of animals to rescue groups and placement partners and deliver outgoing transfer materials to appropriate parties
  • Support Adoption Center operational transportation requests including but not limited to: transport of ASPCA-adopted or foster animals to/from the Adoption Center; medical transports to/from partner clinics, and transport of animals from local partner shelters, to the Adoption Center or Kitten Nursery.
  • Effectively coordinate all aspects of transports with internal and external stakeholders, to include:
    • identify and secure appropriate vehicle
    • schedule driver(s) and handler(s)
    • plan and share itinerary(ies)
    • maintain proactive communication with internal and external transport stakeholders (ASPCA Relocation & Placement and Adoption Center teams, destination shelter(s), drivers and handlers) leading up to and on day of transport
  • Prepare all necessary supplies and materials needed per animal for outgoing transports, including but not limited to medications, diets, enrichment and equipment
  • Maintain consistent records for all transports
  • Provide a safe and compassionate environment for animals in our care, our staff, and for our clients by using low-stress handling techniques
  • Ensure thorough knowledge and use of shelter medicine disease control protocol
  • Liaise effectively with ASPCA Facilities, Fleet and Security teams as related to Adoption Center fleet and Relocation vehicles as applicable
  • Complete expense reports related to transports and fleet maintenance
  • Fleet Coordination duties including but not limited to:
    • Serve as a primary Adoption Center point of contact for ASPCA Fleet policies
    • Collaborate closely with the Manager, Mobile Adoptions on Adoption Center Fleet oversight
    • Prioritize and ensure organizational vehicle, maintenance and animal transport safety standards are consistently adhered to
    • Maintain department vehicles to meet organizational standards
    • Maintain copies of Fleet records and documentation
    • Coordinate and fulfill vehicle parking and fueling needs
    • Onboard approved drivers, provide comprehensive training to meet organizational standards


Administration and Team/Program Support (20%)

  • Work with the Director and fellow staff to monitor, evaluate and continuously improve the program, with particular attention to appropriate use of ASPCA resources to facilitate animal placement
  • Provide back-up administrative and logistics support to fellow Matchmaking staff members and their respective programs
  • Cultivate positive and productive relationships between staff, fosters and volunteers to support positive animal outcomes
  • Provide training, supervision, modeling, coaching and ongoing guidance for volunteers supporting transport activities.
  • Other duties as assigned by supervisor

Qualifications:

  • Enthusiasm for animal welfare, passion for the mission of the ASPCA
  • Knowledge of basic animal care. Must be comfortable working with and handling dogs and cats
  • Commitment to prioritizing animal safety and wellbeing
  • Must possess a valid NYS driver's license upon hire and be comfortable driving in and outside of the New York City and tri-state area in all weather conditions
  • Must pass a motor vehicle history check demonstrating a safe driving history. As part of the driving requirements of this role, must also pass a Department of Transportation Medical Exam
  • Flexibility regarding schedule, including occasional overnight travel

  • Deploy with Community Engagement, Community Medicine, National Field Response or Relocation twice per year

Compensation and Benefits:

Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring range is for new hire offers only, and staff compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. The expected hiring salary range for this role is set forth below and may be modified in the future.

For hourly roles: The target hiring range for this role is $24.28 - $25.73 hourly.

Experience caring for cats and dogs in a shelter, veterinary practice or other animal related business preferred, Fear Free Shelter certification is required within 60 days of hire, Previous experience in an operational role desired
