A Brief Overview

Facilitates the scheduling process for hospital and outpatient patients. Obtains essential information for registration, scheduling and insurance referral. Provides customer service to patients, care providers and others through effective, timely communication such as telephone triage, email and written correspondence. Performs other scheduling duties as requested.

Essential Functions

  • • Schedules appointments accurately and completes pre-registrations including insurance verification, & identifies POS collections amts. ◦ Makes appointments from calls and orders work queues ◦ Reschedules and cancels appointments and communicating as needed with patients/families and departments./clinics ◦ Coordinates multiple appointments ◦ Schedules interpretation services as needed for appointments. ◦ Demonstrates positive customer service when greeting patients, care providers and others. ◦ Provides patient/family service instructions prior to appointment as directed by service department ◦ Provides directions/maps, and parking instructions as needed ◦ Works with system to set up appointment reminder phone calls. • Secures demographics, guardian and emergency contacts, guarantor and coverage information ◦ Verifies insurance eligibility for services ◦ Updates registration when patients information changes. ◦ Requests referral from PCP at the time of scheduling the appointment. ◦ Enters in system and notifies patients of co-payments, deductibles or deposits needed, collecting when appropriate.

  • • Assures Physician orders are linked to appointments in system (CHMC only) ◦ Links system orders to appointment ◦ Enters signed, faxed orders to appointment and scans original to the electronic record • Reviews daily work queues (WQ’s) to assure accuracy of appointment information and completion of needed appointments. ◦ Corrects own errors as identified in WQ’s or by peers, leadership, or department. ◦ Meets productivity requirements for appointment events, registration errors, orders WQ, and others as identified by department leadership.

  • • Perform a variety of miscellaneous job responsibilities pertinent to the workflow of the position. ◦ Demonstrates positive customer service when greeting patients, care providers and others. ◦ Maintains provider templates in Cadence and contributes to improvements in process and systems (CHMC only). ◦ Notifies appropriate leader, clinic or provider if/as Service Recovery is needed to resolve customer complaint/concern.

  • Regular attendance at work is an essential function of the job.

Education Qualifications

  • High School Diploma or GED Required

Experience Qualifications

  • Minimum one year customer service experience Required and

  • One year experience in patient scheduling or working in health care Preferred

Skills and Abilities

  • Knowledge of medical terminology preferred.

  • Ability to pay close attention to detail.

  • Ability to read, write, type, and follow oral and written directions.

  • Ability to work with minimal supervision.
