Aston Carter HR Assistant in Ontario, California

We’re looking for a detail-oriented and organized Human Resources Coordinator to support our HR department. This role offers an exciting opportunity to assist with recruitment, compliance, training, and employee engagement activities. Key Responsibilities:

  • Learning Management System (LMS) Support: Assist with monitoring LMS for compliance, tracking required training modules, and ensuring new hire training completion.

  • Recruitment & Onboarding Support: Track pre-employment requirements, schedule interviews, post job openings, conduct new hire orientations, and assist with the overall onboarding process.

  • I-9 Compliance: Monitor and ensure I-9 compliance by running monthly reports, working with local HR representatives or employees to ensure documentation is up-to-date.

  • Policy & Procedure Management: Ensure all HR policies and procedures in the company shared drive (Intranet) are current and updated under the direction of the HR Business Partner or HR Director.

  • Job Description Maintenance: Maintain and update a comprehensive catalogue of job descriptions for each location.

  • Administrative Support: Answer and direct HR mainline phone calls and handle incoming faxes/emails, receive and distribute HR mail, and provide general administrative assistance to the HR team.

  • Documentation & Communication: Proofread, create, and format HR documents, correspondence, forms, flyers, or internal postings.

  • Employee Transfers & Classification Changes: Provide support for employee transfers, job title changes, and other employment paperwork and processes.

  • HR Reporting: Assist in preparing HR reports, including open positions, new hires, turnover rates, and other related metrics.

  • Labor Law Compliance: Ensure all labor law posters are up-to-date and manage the company’s compliance account.

  • Employee Engagement: Assist with organizing and executing employee engagement activities and initiatives.

  • Other Duties: Perform additional HR-related tasks as assigned.

Skills & Qualifications:

  • Experience: Minimum of two (2) years of entry-level human resources experience preferred.

  • Education: HR-related certificate or degree strongly recommended.

  • Bilingual: Spanish proficiency is a plus.

  • Technical Skills: Proficient in Microsoft Office Suite, with advanced Excel skills (including VLOOKUPs and pivot tables) preferred.

  • Communication: Excellent verbal and written communication skills. Ability to present in front of a group and interact with diverse teams.

  • Organizational Skills: Strong organizational skills with the ability to multitask and manage competing priorities in a fast-paced environment.

  • Confidentiality: Must be able to handle sensitive and confidential information with discretion.

  • Customer Service: A positive and helpful attitude when interacting with employees, management, and external vendors.

Pay and Benefits

The pay range for this position is $24.00 - $28.00/hr.
