Marotta Controls, Inc. Proposal Manager (Space Systems) in Parsippany, New Jersey

Proposal Manager (Space Systems)

Position Profile:

Proposal Manager assembles proposals in response to customer requests for quotations/proposal (RFQs/RFPs). The Proposal Manager is expected to process and communicate all pertinent requirements in RFQs/RFPs to subject matter experts (SMEs) to provide consolidated responses to customer requests.

The Proposal Manager will use existing templates and materials to consolidate inputs from proposal team members and SMEs. Above average acumen in desk-top publishing is expected. Experience in formal proposal development and opportunity shaping exceeding $1 Million in aggregate for commercial and government applications is expected. Additional emphasis is placed on methods and practices promoted by the Association of Proposal Management Professional (APMP).

Minimum Required Qualifications:

  • Bachelor’s degree in Mechanical/Aerospace Engineering, Business Administration, Marketing, or related disciplines is preferred. Equivalent experience in the absence of these educational qualification is situationally acceptable.

  • Minimum 2-4 years’ proposal coordination/ technical writing experience within the aerospace or defense industry

  • Demonstrated proofreading/copy editing and technical writing ability

  • Strong research and analytical skills

  • Strong mathematical skills and reasoning ability

  • Excellent verbal/written communication skills required for multi-faceted interactions with all levels of personnel within the organization, as well as any and all outside agents, including but not limited to, vendors, suppliers, customers, executive level employees etc.

  • Very strong computer literacy, with MS Office/PC expertise, and ability to adapt to other systems, programs, equipment, etc.

  • Very strong literacy with MSWord, Adobe Acrobat, and other desk-top publishing software.

  • Must be a US Citizen

    Essential or Primary / Key Responsibilities:

  • Proposal Coordination: Serve as the primary point of contact for proposal activities, collaborating closely with cross-functional teams to develop comprehensive, compelling proposals.

  • Document Management: Maintain accurate and up-to-date proposal documentation, ensuring compliance with company standards and customer requirements.

  • Schedule Management: Establish and manage proposal schedules, deadlines, and milestones, proactively identifying and addressing potential roadblocks to ensure timely submission. Coordination and collaboration with internal resources and stakeholders to develop accurate and achievable schedules is expected.

  • Content Development: Assist in the creation and refinement of proposal content, synthesizing technical information provided by engineers and other subject matter experts into clear and persuasive language.

  • Review Coordination: Facilitate proposal reviews with internal stakeholders and external partners, consolidating feedback and coordinating revisions as needed. Final review with executive and C-level employees for approval is required.

  • Compliance Assurance: Verify proposal compliance with solicitation requirements, including adherence to technical specifications, formatting guidelines, and submission instructions.

  • Bid Tracking: Maintain records of proposal submissions and outcomes, tracking win/loss statistics and identifying trends to inform future proposal strategies. Expectation to effectively manage and work multiple proposals at a time and communicate the progress of these proposals to management.

  • Process Improvement: Continuously evaluate and improve proposal development processes, identifying opportunities to streamline workflows and enhance efficiency.

    Additional Duties / Responsibilities:

  • Bring initiatives and activities to closure in a timely manner through effective interaction with individuals, both internal and external to the Marotta organization (as required).

  • Knowledge of aerospace standards, regulations, and best practices for proposal development and management.

  • Maintain and continue to elevate relationships with Business Development, Engineering, Operations, Customer Service and all other facets of the company

  • Abide by all safety, quality, housekeeping and company policies/procedures to ensure compliance to various regulatory and internal system requirements

  • Contribute to a positive and cooperative work environment through effective communication at all levels internal and external to the organization

  • Actively participate in team meetings, improvement initiatives/programs, etc. to provide constructive recommendations and initiate actions to support company initiatives/goals

  • Consistently demonstrate commitment to company values

  • Keep management informed of area activities and of any significant problems

  • Assume responsibility for related duties as required or assigned

  • Ensure that work area and work areas of direct reports are clean, secure, and well maintained

  • Complete special projects and miscellaneous assignments as required

  • Clerical duties include Communication of key proposal details in various ways, including layouts and PowerPoint presentations, and financial summaries

  • Maintaining quote/proposal record-keeping, Updating the bookings forecast database in MS Access

  • Resolution of submitted proposal details including technical descriptions and or pricing clarity

  • Function independently in a fast-paced working environment to produce publication quality first drafts and effectively manage workload with minimal supervision.

  • Respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.

  • Read, analyze, and interpret scientific and technical journals, drawings, financial reports, and legal documents.

Work Environment:

  • This job interacts both in a professional office environment and a manufacturing/machine shop environment. This role uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines, as well as environments inclusive of the appropriate eye, hearing and foot protection (as required).

  • Some local travel may be expected for this position (0-5%)

Physical Requirements:

  • While performing the duties of this job, the employee is regularly required to see, talk, and hear.

  • The employee is frequently required to reach and lift with hands and arms, and to occasionally handle hardware or administrative paperwork.

  • The employee is required to stand , sit, walk, bend, turn, etc., and move about the facility.

  • The employee may be required to lift, push, pull and/or move items weighing up to 25 pounds (shipping, prep, and setup for trade shows, etc.)

This position is at our Parsippany, NJ office location.
