About the Role:

As a CBRE Assistant Facilities Manager, you will be responsible for a combination of advanced facilities work in regulated spaces.

This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Property Managers regarding all repairs and investment plans.

What You’ll Do:

  • Manage site expenditure as per clients contracted expectations.

  • Financial tasks performed in accordance with CBRE reporting requirements, including invoicing, payments administration, financial management etc.

  • Manage expenditure and costs to meet agreed budget targets.

  • Provide feedback to SRL / Account Director on any failures to deliver services or risks to commercial position.

  • Review, verify and approve all monthly invoices submitted in accordance with the CBRE contract Payment Terms and Conditions – seek and achieve resolution, where required.

  • Ensure prompt processing of all suppliers and subcontractors' invoices.

  • Report site risks and opportunities for input into budget forecasts.

  • Monitor and measure contractors, suppliers, site and client requirements, to promote continuous improvement using inspections sheet, WHSE contractor assessments etc.

  • Ensure appropriate scopes of works and contractor documentation is in accordance with CBRE procurement procedure.

  • Facilitate planning and programming for prescribed maintenance, service and activities in line with obligations.

  • JDE/SI7 INSIGHT/MyBuy operations including maintenance and updating of all necessary input data and output reports.

  • Completing all required monthly reporting on time each month as required.

  • Ensure the contract’s sub-contractors and suppliers are effectively managed so that they deliver the services in accordance with the contract requirements and CBRE system requirements in a time and cost-effective manner.

  • Manage or oversee the management of subcontractor(s) administration including the following:

  • Prepare all Work Orders, Purchase Requests/Orders and documentation

  • Review of subcontractor WHSE documentation

  • Assessment of works complete

  • Liaison with client, or representative, to assess delivery

  • Day to day administration of contract terms and conditions

  • Authorisation of payment to subcontractors and suppliers

  • Prepare and obtain approvals for Client works including variations and additional works as provided under the contract and in accordance with CBRE and the client’s procurement procedures.

  • Provide technical & management service and support to clients as required.

  • Ensure compliance with relevant laws, regulations, codes, and standards.

  • Ensure full compliance with CBRE business operation systems. Soft copy information is stored in the appropriate place.

  • Ensure all workers and contractors under your direct management perform their worker in accordance with CBRE procedures.

  • Provide visible leadership engagement through daily action that relates to improvement.

  • Ensure all workers receive required WHSE training and induction prior to commencing their duties.

  • Participate in near miss and hazard reporting and follow up on corrective actions.

  • Ensure risk assessments and/or job hazard analysis have been completed for contract work tasks.

  • Ensure contractors are managed in accordance with the contractor management program.

  • Ensure proper equipment and resources are available to perform the task.

  • Ensure highest level of customer service to the client's employees & visitors.

  • Maintain visibility with the client's key stake holders.

  • Manage cleaning services contract at Site to ensure overall cleanliness of the facility.

  • Manage overall presentation of meeting rooms across all floors, booking system and any ad hoc AV / HDVC maintenance requirements.

  • Support all on site events & catering planning & co-ordination with help of team.

  • Foster and maintain positive working relationships with clients, client sub-contractors, suppliers and consultants.

  • Manage the contract and service delivery in accordance with client expectations of your role.

  • Manage customer relationships to a level that would result in the client being prepared to recommend CBRE to others.

  • Prepare and provide monthly reports and information as required.

  • Establish relevant, quality driven, external networks and relationships in order to achieve business outcomes.

  • Develop a solid understanding of the client's business and needs, working in collaboration with client to develop new and different ways of working together.

About You:

  • Bachelor's Degree preferred with 2-5 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered.

  • Understanding of existing procedures and standards to solve slightly complex problems.

  • Ability to analyze possible solutions using technical experience to apply appropriate judgment and precedent.

  • In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.

  • Strong organizational skills with an inquisitive mindset.

  • Advanced math skills. Ability to calculate complicated figures such as percentages, fractions, and other financial-related calculations.
