Description

As a member of the Talent Management Department, the Human Resources Assistant works directly with the Human Resources team in all areas of recruitment, onboarding, performance management, and HR administration, providing comprehensive administrative and clerical support.

ESSENTIAL FUNCTIONS:

  • Provide administrative support to the Chief Human Resources Officer, Director of Human Resources, and the HR teams, including electronic file creation, electronic filing, answering phones, copying and scanning, and check requests.

  • Assist with the data entry in HRIS system of all paperwork received from the HR Team including new hire paperwork, terminations, status changes, etc.

  • Responsible for organizing all new hire paperwork and creating electronic files for each new employee.

  • Maintain electronic human resources files and employee records.

  • Respond to employment verification requests.

  • Archive employee files based on established record retention policy.

  • Organize, schedule, and conduct orientation for new hires, including sending out calendar appointments, confirmation emails and preparing new hires for their first day.

  • Assist with employee departures such as creating departure memos, providing required forms to departing employees and scheduling exit interviews.

  • Coordinate meetings for HR team; scheduling, submitting video conference and hospitality requests, booking conference rooms, and preparing materials.

  • Assist with employee 90-day evaluations and annual evaluation process.

  • Research employment laws for updates and inform team regarding new developments.

  • Maintain HR inbox and handle or forward requests as needed.

  • Handle all other administrative duties and special projects as assigned.

ADDITIONAL FUNCTIONS:

  • Various short-term and long-term projects, as assigned.

  • Assist with other related administrative duties, as assigned.

QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES):

Education:

  • Bachelor’s degree in related field required. A combination of education and prior work experience will be considered in lieu of a bachelor’s degree.

Experience:

  • 1-2 years of experience working in a fast-paced human resources department.

Knowledge, Skills, & Abilities:

  • Knowledge of HRIS and applicant tracking software is preferred.

  • Excellent organizational and interpersonal relations skills; strong internal client focus.

  • Ability to always maintain confidentiality.

  • Ability to manage multiple priorities and tasks simultaneously and follow through on issues in a timely manner.

WORK ENVIRONMENT & PHYSICAL DEMANDS:

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

PHYSICAL REQUIREMENTS

Sedentary work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects up to 10 pounds. Work involves sitting most of the time. Walking and standing is often necessary in carrying out job duties.

VISUAL ACUITY

Worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
