Administrative Assistant

 

The Standardized/Simulated Patient (SP) Program, coordinated through the Office of Medical Education (OMED), is dedicated to providing medical students with the opportunity to become more compassionate communicators and influential members of the medical community. The program is integral to the medical school curriculum, ensuring the opportunity in each curricular year for experiential, hands-on learning to enrich the student's educational experience in clinical and interpersonal skills.

Job Summary

Performs administrative and general office support work.

Essential Functions

The Administrative Assistant will provide advanced level administrative support to the Standardized Patient Program (SPP) and the Winter Institute for Simulation Education and Research (WISER) in support of their administrative, teaching, and research activities and responsibilities. Incumbent will serve as the administrative support and receptionist for the SPP and WISER and will need to be fairly knowledgeable about each program and its events to handle inquiries, guests, and materials.

Duties will include, but not limited to:

  • Greet and direct visitors, answer phone calls and general inquiries
  • Allow secure entry to suite for learners
  • Provides advanced level administrative support to the SPP and WISER
  • Manages calendar, schedules meetings, prepares agendas
  • Prepare information and materials and draft routine correspondence
  • Assist with tasks and projects as assigned
  • Attend standing meetings as required
  • Maintain copy/office area keep inventory of supplies
  • Order supplies and ensure maintenance of equipment
  • Submit invoices or other purchasing documents as required
  • Coordinate deliveries and other pick-ups/drop offs (packages, catering, linens, medical/biohazard waste)
  • Receipt and review mail and messages, generally, understand content, context, and relative priority of each item and gather additional information as background or clarification as needed Physical Effort

Incumbent must communicate (verbally and in writing), filing, word processing, and other keyboard tasks; operation of office and some simulation/medical equipment. Incumbent is also expected to move about Scaife Hall specifically and the University campus and University Medical Center generally. Incumbent may be expected to move or lift boxes of supplies up to 25 pounds.
