Sargent Electric Executive Administrator in Pittsburgh, Pennsylvania

We are looking to hire an EXECUTIVE ADMINISTRATOR reporting to our Pittsburgh, PA office.  This position will support our executive team and provides an exciting opportunity to be at the heart of our operations.

POSITION RESPONSIBILITIES:

Executive Administration:

  • Efficiently coordinate the executive team's calendars, appointments, and travel arrangements as required.

  • Prepare and edit correspondence and reports for executives.

  • Act as a point of contact between executives, employees, and external partners.

  • Coordinate customer, vendor, subcontractor inquiries (web, email, phone) with the appropriate Sargent locations.  Follow-up internally and externally to assure appropriate responses

  • Organize and coordinate meetings, events, and conferences.

  • Maintain confidentiality and handle sensitive information with discretion.

  • Coordinate team travel, meetings, and accommodation. 

  • Maintain corporate records in an organized manner.  Plan in advance for renewals and annual updates as required.

  • Coordinate surety bond needs, renewals, approvals and overall schedule.

  • Coordinate certificates of insurance requests.

  • Gather and maintain approvals, as needed, for contract reviews and similar needs.

  • Coordinate Board Meetings and Board requests with Executive Management.

    Business Development / Marketing Support:

  • Support Marketing and Business Development efforts as required. 

  • Coordinate all company-wide (and regional) announcements with Executive team for message and timing.  Develop internal and external communications as required.

  • Assist in the creation and distribution of marketing materials and content, working with marketing.

  • Help organize and coordinate business development and marketing events and activities.

  • Work with marketing and business development team on Pre-Qualification Process for new customers and renewals for existing Customers.

    QUALIFICATIONS:

  • Bachelor's degree in business administration, marketing, or a related field (preferred).

  • 10+ years of executive administration, customer service, or other role interfacing internally and externally in a complex organization.

  • Exceptional organizational and time management skills.

  • Ability to juggle multiple balls at one time and deal with conflicting priorities.

  • Strong written and verbal communication skills.

  • Attention to detail and a high level of confidentiality.
