Job Title: Business Process Assistant

Job Summary:

The Business Process Assistant (BPA) will provide support for the Business Process Manager (BPM) and will provide departmental support as needed or as assigned by BPM.

Duties and responsibilities:

Administrative

  • Data Entry (assist in documentation for department)

  • Data import/export (exporting documents within Word, Excel, etc.)

  • Smartsheet Support (assist BPM with Smartsheet inquiries)

  • Process Mapping Support (assist BPM in creating flow charts)

  • Research Support (as assigned by BPM)

  • Scheduling (coordinating with departments to schedule meetings for BPM)

  • File Management

  • Misc. duties as assigned by Business Process Analyst

Qualifications:

  • BSc/BA preferred, but not required.

  • Strong data entry skills

  • Good knowledge of MS Office 365 suite

  • Knowledge of Bluebeam Revu (PDF viewer) preferred

  • Outstanding verbal and written communication skills

  • Excellent customer service skills

  • Excellent organizational and time-management skills

  • Ability to multi-task in a fast-paced work environment

  • Must be a self-starter and able to work with different departments

Working Conditions:

Mostly office-based. Typical working hours for the assistant project manager may vary. Generally Monday – Friday during normal business hours, but when deadlines approach they may be required to work much longer hours, including some weekend work. Some travel may be required for training/continuing education.

Physical requirements:

The physical demands described here are representative of those that must be met by a Business Process Assistant to successfully perform the essential functions of this job.

The BPA is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Direct reports:

None. The BPA will report to the Business Process Manager but will also communicate with various departments on a number of different projects.
