Robert Half Administrative Assistant in Queens, New York

Description We are looking for an Administrative Assistant to join our team in LONG ISLAND CITY, New York. In this role, you will be working in the logistics industry, handling tasks such as vendor management, work orders, invoices, customer service, data entry, phone and email correspondence, filing and organization, and coordinating with other departments, particularly the shipping department. This is a short term contract employment opportunity.

Responsibilities:

• Manage vendor relationships, ensuring all necessary documentation is updated and maintained

• Handle work orders and invoices, ensuring accuracy and timeliness

• Provide excellent customer service, addressing inquiries and resolving any issues promptly

• Perform data entry tasks, maintaining a high level of accuracy and attention to detail

• Manage phone and email correspondence, ensuring all communication is professional and timely

• Maintain an organized filing system for easy access to necessary documents

• Collaborate with other departments, particularly the shipping department, to ensure seamless operations

• Use Microsoft programs such as Excel, Outlook, PowerPoint, and Word to efficiently complete tasks

• Schedule appointments and meetings as needed

• Apply knowledge of logistics and distribution to daily tasks and problem-solving. Requirements • Prior experience of at least 1 year in an administrative assistant role or similar position

• Proficient in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word

• Strong customer service skills and experience in handling inbound and outbound calls

• Proven ability to efficiently manage email correspondence

• Experience in data entry with high attention to detail

• Ability to schedule appointments and manage calendars

• Knowledge in logistics and distribution is a plus

• Ability to multitask and prioritize work as needed

• Exceptional communication and interpersonal skills

• High school diploma or equivalent required, higher education is a plus

• Must have the legal right to work in the specified location.
