Job Description:

The position sits within the Chief Operations Office group of Manulife Business Processing Services (MBPS). The role will have responsibility on facilities & administrative services for all properties of MBPS ensuring that facilities are maintained appropriately and operated efficiently ready for business use. Responsible in overseeing and managing the strategic and operational aspects of the organization’s physical site, ensuring alignment with company goals, culture, and internal standards

This role takes responsibility for leading pertinent in-house and outsourced teams, which in turn provide company-wide facilities upkeep, logistical, administrative, and ancillary services to all Manulife employees, stakeholders, & regulators

Key Responsibilities:

  • Lead the Facilities & Administration Team, which includes responsibilities for but not limited to housekeeping & maintenance, courier services, printing services, relevant facilities documents and records management, etc

  • Provide leadership and direction to the Senior Facilities Specialists, fostering a culture of continuous improvement and professional development. Managerial tasks includes, but are not limited to coaching, performance management, recruiting, training, etc

  • Develop and implement facility management strategies that align with company objectives, including space planning, sustainability initiatives, and resource optimization.

  • Lead long-term planning for facility upgrades, renovations, and expansions, ensuring compliance with corporate standards and budget constraints.

  • Manages & coordinates with various vendors on several products and services including, but not limited to performance & SLA management, requirements handling, and issue resolution & escalation.

  • Leads, coordinates, & supports partnership & communication with internal (ex. Procurement, Health & Safety, Security, etc) & external stakeholders on key operational matters.

  • Act as the primary liaison between the company and external service providers, ensuring seamless integration and alignment of their services with the company's operational needs.

  • Manages, tracks, & reports operational and capital expense budgets while ensuring that overall spends are within thresholds on a quarterly & annual basis.

  • Drive strategic cost management initiatives & projects which contribute to the delivery of cost targets for the company.

  • Analyzes efficiencies and recommends any needed process improvements/solutions related to Admin Services functions.

  • Coordinates the maintenance, retrieval, protection, retention, and destruction of all records in accordance with legal, financial, and historical requirements.

  • Reviews and monitors timely payments to service providers for administration services and ensures that expenses are recorded properly & accordingly.

  • Ensure compliance with all regulatory requirements related to facility operations, including health and safety regulations, environmental standards, and building codes. Also manages & leads efforts to satisfy requirements and secure appropriate government permits inclusive of serving as the main point of contact for inspections by local government units (LGU) and other pertinent external regulators/agencies.

  • Manage risk by developing contingency plans for critical systems and services and conducting regular audits and inspections.

  • Ensures that the team maintains complete & accurate logs, reports, & inventories for all facets of the facilities & admin services service scope.

  • Facilitate cross-departmental collaboration to ensure facility management efforts are aligned with the needs of the entire organization.

Qualifications:

  • College Degree in any field of business administration, property / facility management, finance or engineering

  • Minimum of 5 years work experience in managing insourced and outsourced teams in areas of property and facility management, logistics, and real estate

  • At least 7 years’ experience in Facilities/Property Management

  • At least 5 years in a leadership role

  • BPO or Shared Services setting experience is preferred

  • Ability to navigate and manage through a highly matrixed organization

  • Proficient in using MS Office

  • Customer Service focused

  • Excellent written and spoken communication and interpersonal skills

  • Possess above average interpersonal presentation and problem-solving skills

  • Ability to identify priorities, organize and manage time effectively. Project management experience a plus
