The Opportunity

The position of Coordinator Site Project Operations is within our Infectious Disease Developed Markets Business Unit located at San Diego, CA.

This role will communicate effectively and openly with the site management team to enable efficient coordination of all site activities and events. This position also provides some administrative support to multiple site directors and other managers as assigned and may provide back-up support to higher-level management as needed.

What You’ll Work On

  • Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.

  • Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable). It may include some responsibility for tracking budget expenditures.

  • Works with managers on extremely confidential activities of moderate to high complexity and must follow problems to resolution.

  • Responsible for administrative functions including answering phones, some travel scheduling, managing correspondence and scheduling couriers, processing expense reports, meeting/event planning, creating or modifying business documents, preparing presentations from source materials, and arranging video/teleconference and cell phone setups.

  • Assist with posting visual communications on site (business metrics, announcements, site calendar). Uses intermediate to advanced software skills to perform work assigned.

  • Uses and understands Microsoft Office Suite and other business-specific software, including the Corporate Travel Web site.

  • Coordinates new employee office set-ups and onboarding.

  • Site champion for corporate employee wellness programs. Responsible for promoting initiatives, scheduling and leading program events, and communicating updates to employees.

  • Support site management to implement business objectives and initiatives.

  • Works closely with senior management to ensure pertinent issues, changes, and updates are communicated.

  • Interacts with outside vendors to communicate and coordinate site requirements.

  • Intermediate to advanced knowledge and understanding of business processes and requirements.

  • Frequently handles confidential or business-sensitive information.

Required Qualifications

  • High School Diploma or GED

  • 3 years of previous admin experience or equivalent.

  • 2 years of business experience in a professional environment.

  • Operates with general instruction and some supervision.

  • Intermediate to advanced knowledge of Microsoft Office Suite, Adobe Acrobat, Visio or OrgPlus, and Lotus Notes or Outlook.

The base pay for this position is $22.05 – $44.15 per hour. In specific locations, the pay range may vary from the range posted.
