Required Qualifications (as evidenced by an attached resume):
Associate's Degree (foreign equivalent or higher). In lieu of a degree, five (5) years of consecutive full-time administrative assistant experience in an academic/medical institution may be considered. Three (3) years of full-time administrative assistant experience in an academic/medical Institution. Experience working with research operations; study participants, protocols, paperwork, etc. Proficiency in MS Office (Word, Excel, and PowerPoint). Experience with Calendar Scheduling.Preferred Qualifications:
Four (4) or more years of full-time administrative experience. Experience working in a research lab. Experience working with Zoom, Teams, & Dropbox.Brief Description of Duties:
Incumbent will perform a full range of interrelated administrative responsibilities.
Duties:
Scheduling/Calendar Management:
- Schedule division meetings, conferences, symposium.
- Prepare agendas, document attendance, record minutes.
- Save all documents for division electronically.
- Schedule and coordinate faculty and staff interviews.
Procurement/IT/Expense Reimbursement:
- Ordering and managing supplies for division.
- Mange travel arrangements for divisional faculty members.
- Processing Expense Reports for Divisional Faculty Members.
- Submit various Work Orders & IT Tickets.
- Order Laboratory Equipment and Supplies; monitor inventory.
Research Coordination:
- Scanning/Filing Faculty & Study Specific Documentation.
- Communicating with study collaborators.
- Facilitating accommodations & paperwork for international/visiting scholars.
- Coordinate Divisional Bonding & Recognition Events.
- Direct phone inquiries regarding study participation interest to appropriate team members.
- Order divisional and study specific recruitment materials.
Other duties as assigned.
