Position Summary:

The Project Analyst will assist with programmatic and fiscal reporting for 5-10 grants in the Crime Victim Services Division, as well as administrative responsibilities to maintain office operations, such as scheduling and timekeeping functions, greeting clients who arrive for services, answering general phones calls and inquiries about the programs, assisting clients with information and referrals when necessary, assisting with staffing schedules, and supporting training efforts of the department. The Project Analyst also performs specific tasks related to outreach about program services, communication with community partners, and additional administrative support. Work involves management of multiple priorities, excellent written and oral communication skills, and a high level of confidentiality.

Education Requirements:

  • Bachelor's degree in business administration, criminal justice, social work, or related field.

Experience Requirements:

  • Knowledge of and prior experience with the New York State SFS system is preferred.

  • Familiarity with grant management and reporting is preferred.

  • Excellent writing skills, public speaking, and computer proficiency is required.

  • Previous experience working with victims of crime is preferred. Sexual Assault Counselor certification by the New York State Department of Health is required for this position to provide crisis intervention, victim advocacy, and counseling services. The program will provide this if a candidate does not possess this certification.

Principal Responsibilities:

Oversight and management of Crime Victim Services grants:

  • Responsible for coordinating St. Peter’s Crime Victim Services grant reporting to federal, state, and local funders in conjunction with the Senior Grants Specialist, Assistant Director, and Director

  • Assists with maintaining systems for grant objective tracking, including developing new systems, and updating forms when necessary

  • Works with program staff to ensure that they are on track to meet grant objectives

  • Ensures that grant related timesheets and records are up to date and properly filed

  • Participates in meetings to remain appraised of status and activity on grants

  • Responsible for ensuring timely submissions of assigned reports required of project funders, including programmatic reports related to project objectives and fiscal cost reports and vouchers

  • Prepares grant objective reports for assigned project funders

  • Prepares grant fiscal cost reports and vouchers for assigned projects for signature, obtains proper signatures, and submits to funders

  • Serves as the point person on assigned grants to manage grant related issues when they arise

  • Tracks and maintains accurate information about current financial state of each assigned grant

  • Maintains updated SACVAP grant tracking spreadsheet for submission to SPHP finance department and for review by SP Crime Victim Services Director

  • Provides SPHP Finance department with information necessary for A133 federal report

  • Prepares and submits Budget Amendment requests to funders when appropriate

  • Manages spreadsheets and/or data input for statistics and reportable data to grant funders

Administrative and office management:

  • Maintain inventory of office supplies, training supplies, equipment/supplies used by Crime Victim Services Programs

  • Manages trainings, including coordination of registration and/or travel arrangements for staff of the program and professions registering for training offered by the program

  • Manages stock and orders evidence collection kits as needed

  • Orders brochures and other materials from a printer/print shop to maintain an inventory for specified department

  • Coordinates certified letter mailings

  • Assists with monitoring on call schedules and coordination of staff coverage

  • Manages and approves payroll for Crime Victim Services Programs

  • Processes payment requests to vendors and subcontractors as needed

  • Coordinates with other departments throughout system as needed

Client Services:

  • Assists clients with navigation of services (both internal SPHP CVS and/or SPHP based services and external, community-based services)

  • Assists with processing of Forensic Rape Exam (FRE) reimbursement claims to NYS Office of Victim Services and processing of payments to LabCorp

  • Performs patient follow up calls as needed

  • Staff the reception area desk to greet clients who arrive for services

  • Answers all incoming calls from clients/potential clients and other service providers

  • Follows up on any phone messages requiring immediate attention or forwards to appropriate staff person

  • Refers callers to appropriate outside services when necessary

  • Assists with managing the inventory and ordering of clothing items for patients

Other Responsibilities:

Additional responsibilities include:

  • Assisting with outreach events

  • Attending meetings and/or site visits with funders

  • Other related duties as assigned by the Director, Assistant Director, and/or Sr. Grants Specialist

Pay range: $21.20-$32.15

Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location
