Description
We are searching for a motivated, friendly team member that has experience working with a diverse workgroup such Veterans and individuals with disabilities. The right person will have a proactive attitude and take pride in their accomplishments. The Project Administrative Assistant, a.k.a. Construction Control Representative, governs the Planner/Estimator team administrative tasks that preserve projects producing highest standards to include providing deliverables with comprehensive details, maintaining files and documents, scheduling meetings, coordinating with the Operations Department and building tenants, and keeping the Directorate of Public Works (DPW) informed. The position requires strong administrative and organizational skills. This position will report to the Operation Support Manager and is based at Detroit Arsenal in Warren MI. Typical work hours will be Monday - Friday 7:30 to 4:00.
Rate of pay:
$36.43 per hour, plus $5.95 for health and welfare, (union position)

What You'll Do as a Project Administrative Assistant:
Prepares project work through tenant engagement, scope of work development, and project communication boards.
Assists Planner/Estimators with project meeting minutes, job plans, permitting, impact notification, and deadline requirements.
Contributes towards estimating and project management at various levels through the project work order process
Scheduling resources for Project work through multi-department communication via Garrison Deconfliction Schedule and sites live Scheduling Matrix.
Manages and analyzes estimating data through trends of labor/material usage and subcontracting quotes.
Qualify subcontractors through PCSI’s Master Subcontract Agreement requirements that meet the Small Business plan.
Tracks, manages, and coordinates labor and material warranties
Manages construction, red-line, and as-built drawings.
Routinely work with customers and co-workers to develop creative approaches to solving maintenance and construction problems.
Contributions to site internal and external initiatives.
Serves as the back-up for the Planner/Estimator team
Performs other duties as assigned

What You'll Need to Be Successful:
Minimum High School Diploma or GED equivalent, some college is preferred.
1-2 years’ experience working in a facilities, construction or related environment preferred.
CFM certification is a plus.
Must have worked minimum of 2 years in a professional environment.
Knowledge, Skills, and Abilities:
Must possess high-level organization skills, with the ability to read, interpret, and communicate information.
Able to work in a fast-paced, deadline-driven environment with the ability to manage multiple tasks at once.
Ability to use objective problem analysis
Ability to respond appropriately with a sense of urgency
Ability to analyze financial integrity of a project
Must be able to walk, bend, climb and safely navigate construction sites.
Preferred demonstrated knowledge in Project Management
Preferred demonstrated knowledge in RS Means, and MicroStation/AutoCAD.
Must be skilled in Microsoft Office products (Outlook, Excel, Word, and SharePoint).
Must be skilled in Adobe products (Acrobat DC or Pro).
Normal working conditions for this position are in both an office and field setting.
Ability to shift priorities in a short notice.
Must be able to obtain a government Common Access Card (CAC).
Preferred having familiarity with government regulations, environmental, safety and security standards.
Other Requirements:
Ability to pass criminal, drug, and driving screening.
Ability to work outside in warehouse setting.
Ability to work any time or day of the week, including weekends and holidays.
Possess valid driver’s license and maintain good driving record.
Must be able to obtain and maintain security clearance, including a National Agency Check with Inquiries (NACI) investigation.
